We are currently looking to fill the permanent position of Project Coordinator - Purchasing & Contracts , reporting to Manager, Project Controls, Capital Projects in our Capital Projects Department.
The Project Coordinator - Purchasing & Contracts will be jointly accountable for the successful execution of large-scale capital projects, ensuring adherence to scope, cost, schedule, and quality from inception to completion. This role involves facilitating effective communication with key stakeholders, monitoring project performance, and escalating risks and issues to the Project Manager for timely resolution. The Project Coordinator will also ensure compliance with the Project Management Methodology and Project Plan to support the project's successful completion.

The Project Coordinator - Purchasing & Contracts will be jointly accountable for the successful execution of large-scale capital projects, ensuring adherence to scope, cost, schedule, and quality from inception to completion. This role involves facilitating effective communication with key stakeholders, monitoring project performance, and escalating risks and issues to the Project Manager for timely resolution. The Project Coordinator will also ensure compliance with the Project Management Methodology and Project Plan to support the project's successful completion.
Primary accountabilities include:
• Understanding of NSP Procurement/Legal Policy, procedures and practices to provide guidance to the Capital Projects team.
• Entry of purchase requisitions, management of associated changes to purchase orders (ongoing PO maintenance) and invoice receiving in Oracle.
• Coordination of month end accruals and completion of project expenses.
• Support alignment with corporate/regulatory compliance and governance.
• Support/lead vendor liaison.
• Develop Contracting Strategy in collaboration with Project Managers.
• Administer contracts and agreements (with Procurement Dept & Project Managers) - negotiations, coordination procedures, monitor deliverables against contracts/purchase orders, etc.
• Manage Construction Holdbacks and Withholding Tax.
Secondary accountabilities include:
• Arranging meetings with user groups and managing logistics for project related activities.
• Document meeting minutes and produce action plans and follow-up on action items.
• Shared maintenance of a project SharePoint site to manage critical project documentation and workflow processes.
• Maintaining project procedures for activity tracking, managing the procedure, and tracking deliverable status.
You will be responsible for your personal safety and that of your co-workers by observing all Occupational Health and Safety Rules and Regulations. You will be accountable for environmental performance as it relates to the environmental management system processes and initiatives.
These skills will make you successful::
• You must have a College Diploma or University degree from an accredited post-secondary institute and/or a recognized project management certification or equivalent experience.
• You must have a minimum of 5 years' experience in a relevant field.
• Solid understanding of, and experience with; project planning, procurement, contracts and document/records management.
• Experience managing or helping to manage and update financial forecasts.
• Able to work on multiple projects at once while maintaining priorities.
• Excellent communication and strong organizational skills.
• Willingness and ability to learn new processes.
• Strong analytical and quantitative skills, attentive to detail.
• Team player with strong interpersonal skills.
• Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook).
• Experience with Oracle, SharePoint or Project Management software considered an asset.
