Responsibilities

Primary Focus

The Project Coordinator will coordinate and organize all program deliveries for the community, micro-credential, open enrollment and corporate offerings for clients on campus and in the community for LC Extension. The successful candidate should be a flexible team player with exceptional interpersonal and communication skills. They will use innovation, problem solving, and computer skills to coordinate each unique project. Project Coordinator will work closely with the Operations Manager, the Project Facilitator, and College's Affiliated Services to ensure our program delivery meet course/client objectives resulting in a repeat client.

Job Duties

Specific Accountabilities

Plan and schedule LC Extension's Open Enrollment: 20%

  • Research and collaborate with internal stakeholders for potential new offerings to enhance learners skill set
  • Assist with the advertising and promotion of courses, programs, and promotional materials by writing content for newsletter and social media
  • Ensure information is accurate and consistent in print and online resources
  • Identify the appropriate method of delivery
  • Organize training space or location
Monitor individual course budgets with respect to the department budget:15%
  • Assist Operating Manager in budget forecasts
  • Manages portfolio budgets, program grants, sponsorships and contractual relationships stemming from provincial, federal and private sources
  • Upon request, prepares proposals and contracts for past and existing corporate clients
Recruit, screen, and secure instructors or delivery providers and provide new hires/instructors/contractors with employment requisition or contract for services: 15%
  • Negotiates instructor contracts and compensation rates
  • Confirm instructor availability and instructor scheduling based on the course schedule
  • Ensure supporting documentation for contract payments is on file and forms part of the instructor file
  • Help instructors troubleshoot basic issues with the Learning Management System and guide them to further resources available for support
Implement and monitor program delivery using standardized processes: 30%
  • Ensure all stakeholders are informed of course offerings and non-credit registration system is up to date on course delivery
  • Order and prepare materials and supplies for distribution to students in face-to-face courses, through the bookstore, publisher, and campus print shop
  • Ensures necessary resources and equipment are always available for instructors
  • Monitor courses and actively problem solve before and during program deliveries
  • Ensure that deliveries adhere to Lethbridge College policies and all documentation is maintained appropriately for each offering
Evaluate programs post-delivery, review learner's feedback, and propose changes for future offerings: 15%
  • Evaluate programs post-delivery, review learner's feedback, and propose changes for future offerings by assessing key performance indications in a lesson learned
  • Update non-credit registration system accordingly based on the outcomes of lessons learned
  • Use reporting to help create valuable insights to guide department decision making
Monitor enrollment against goals to ensure that progress is being made, and that corrective action is being taken if necessary: 5%
  • Produce weekly reporting through non-credit registration system that highlights the progress being made with enrollment to ensure course delivery
  • Utilize non-credit registration system to load courses, track, monitor, and report
Reporting Relationships
  • Report to the Operations Manager
  • Works closely with, Internal partners, instructors, and clients to ensure open enrollment - community, Micro-credential and corporate offerings current and add value to our community

Working Conditions

Primary working conditions will be office based with mostly traditional business hours. The needs of the business may dictate from time to time as course delivery may fall outside normal business hours. A large portion of time will be dedicated to telephone and computer work. Occasionally, off campus travel may be required.
Required Qualifications

  • Post-Secondary Diploma and/or experience in coordination, project management or client service role; combination of education and experience may be considered
  • Strong ability to establish and maintain relationships
  • Ability to remain flexible and adapt to changing circumstances
  • Collaborative mindset with excellent interpersonal and communication skills
  • Task oriented, innovative, problem solver who applies system thinking to attain the goals and objectives for each delivery
  • Excellent computer skills and the ability to create and monitor budgets are necessary
  • Analytical thinking, planning, prioritization, and execution skills
Preferred Qualifications
Salary Starting from $28.95-$32.89 per hour; commensurate with education and experience. Full salary range $28.95-$37.83
