Job Description

INTRO
The Project Assistant reports to the Director of the S&T Business Management Office, in the Science and Technology organization, and supports the Project(s) by monitoring the day-to-day progress and spending of project activities utilizing systems for change control, prepares and coordinates purchasing activities, coordinates project meetings as required and collates project and program information for review and approval.

DUTIES
Functions and responsibilities include but are not limited to the following:

  • Acts as a project contact to answer questions, obtain and provide information to stakeholders within and outside the organization ensuring timely and accurate response.
  • Acts as a liaison between departments, sets up and attends department meetings (taking minutes).
  • Drafts, edits, formats, organizes, prioritizes, assembles, files and/or distributes documentation and forms to avoid delays and ensures that reports and other documents are sent to customers before the established deadlines.
  • Provides assistance to the staff within the department by processing project correspondence.
  • Queries and prepares various reports in support of the department Project Leads and project staff. This includes retrieval and analysis of data.
  • Processes and performs data entry into a database or electronic filing system. Maintains hard-copy and soft-copy filing systems.
  • Ensures project information is accurate by opening, tracking and closing work orders; monitors expenses and revenues against budget. Prepares purchase requisitions and quotations.
  • Evaluates project progress; prepares, executes and oversees implementation of improvement/action plans. Ensures actions are being taken and reports on them to Project leads.
  • Provides backup support to other project sections, or other roles within the same section.
  • Daily interaction with the S&T Business Management Director for the purpose of exchanging and verifying information, via email, phone or face to face
  • Daily interaction with Project Control Coordinators, Project Leads, and Technical leads for the purpose of exchanging and verifying information and to receive instruction, recommendations, review and approval of documents via email, phone or face to face
  • Interactions with AECL, stakeholders and, other organizations within CNL
  • Works with the project team to resolve issues with the project portfolio as they occur.
  • Must be able to work with minimum supervision
QUALIFICATIONS
  • Successful completion of secondary school (Grade 12) with 2-4 years of related experience or college diploma in a related discipline (e.g. Project Management) with 1 year of experience.
  • Working towards the Certified Assistant in Project Management (Certificate) is considered an asset
  • Oral and written English communication skills are essential to write a variety of procedures, letters, and formal correspondences and to deal with internal and external client groups.
  • Ability to work independently and responsibly under minimal supervision and establish priorities to meet conflicting deadlines.
  • Ability to plan, coordinate and organize projects.
  • Knowledge of CNL procedures, processes and policies and best practices in Project Management.
  • Knowledge of the correct usage, spelling and punctuations of English and experience in editing, reviewing, and handling large documents.
  • Knowledge of Microsoft Office Suite for creation of basic Word documents, Excel spreadsheets, formatting procedures, exporting and running reports, preparing presentations and corresponding using e-mail
  • Knowledge of office equipment such as printers, fax machines, photocopiers, and scanners.
  • Knowledge of CNL's business systems: Oracle, Management Financial Report Centre, ATOM, Primavera P6 Scheduling etc.
  • Knowledge of Project Management terminology
  • Understanding of basic financial/accounting practices in order to provide assistance pertaining to budget issues.
