POSITION SUMMARY: The Program Coordinator reports to the President of GLOBE Series and the Program Manager, and works closely with the program team. You are responsible for supporting the development and delivery of programs, including the coordination of all GLOBE powered virtual, in-person and hybrid events, such as webinars, workshops, and conferences, including our flagship events, GLOBE Forum and GLOBExCHANGE. In addition, you will support select strategic convening opportunities for our group of organizations (e.g., The Delphi Group, CBSR, Leading Change). The role requires a driven, process-oriented, professional who can work collaboratively with colleagues across all departments, while offering strong relationship management when engaging with our clients and partners. KEY RESPONSIBILITIES: Working closely with the President of GLOBE Series and the Program Manager, the Program Coordinator will: - Assist with standardized event processes and procedures including but not limited to: critical path schedules, project plans, post-event evaluations, budgets, and post-event reports. - Work cross functionally with other team members, where their work intersects with program, to support a seamless program delivery. This includes, but is not limited to:
  • Engaging with the partnerships team to ensure that sponsor and partner entitlements for events are delivered.
  • Collaborating and regularly communicating with the GLOBE Series marketing and sales teams on event promotions, website(s), marketing materials, and event delivery.
  • Connecting regularly with the event strategy, design and production team to support on various event execution and logistic related tasks.
  • Working across our group of organizations to create and deliver events that work towards our shared goal of a sustainable, prosperous and socially just future.
  • Assist with program design, speaker management and logistics for a variety of events, including but not limited to webinars, workshops, symposiums, conferences, B2B activities, tradeshows and networking events. Specifically:
- Program design:
  • Contribute to content development by proposing and evaluating session topics, suitable speakers/partners, delivery formats and engagement tools to drive desired outcomes for the session and create meaningful impact.
  • Draft runs of show and scripts for manager fine-tuning.
  • Evaluate the viability and placement of individual sessions based on their impact on the broader program, involved stakeholders (e.g. speakers, audience, partners, etc.), and society, specifically in creating a more sustainable and socially just future.
  • Support post event deliverables and analytics including testimonials, program evaluation and impact on strategic vision for future events.
- Speaker and partner management:
  • Assist in speaker and partner outreach with strong relationship management, including day-to-day communication, meeting coordination, relationship building and data collection.
  • Provide training for speaker, facilitator and/or clients, including tech rehearsals and speaker preparation calls.
- Logistic support for in person, virtual and hybrid events. In particular: - Implement event workplans, in accordance with event timelines, objectives, and budgets. - Support pre-event dry run meetings and any troubleshooting required day of event. - Assist as ?tech lead? for virtual events for events alongside manager. - Support delivery of in-person events where applicable such as event set-up and take-down, administrative support (e.g. registration desk), and managing engagement activities. EXPERIENCE, SKILLS AND COMPETENCIES: - Ability to work effectively in a team-based environment, and also work independently, take initiative, and exercise good judgment. - Keen interest in sustainability, climate change, social justice, cleantech or innovation. - Strong organizational and time-management skills with process-oriented mindset. Specifically, ability to:
  • Work effectively under pressure of high volume and deadlines.
  • Handle diverse assignments simultaneously.
  • Work on multiple projects (events) simultaneously.
  • And has an eye for detail.
- Experience & education in the space is an asset. This could look like:
  • Experience with virtual events and working with various events platforms (e.g. Zoom).
  • Experience working in client-facing event delivery.
  • Education related to events or hospitality management or equivalent and/or sustainability.
  • Tradeshow or B2B management experience would be an asset.
- Skills:
  • Process-oriented
  • Strong computer skills including MS Word, Excel and PowerPoint.
  • Working knowledge of video conferencing and event technology platforms.
  • Excellent written and verbal communication skills
  • Strong stakeholder engagement, problem solving and partner/client support.
