Compensation Range $6,068.92 - $8,724.25 CAD Monthly

The Compensation Range is the span between the minimum and maximum base salary for a position. The midpoint of the range is approximately halfway between the minimum and the maximum and represents an employee that possesses full job knowledge, qualifications and experience for the position. In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Summary
The Interdisciplinary Biodiversity Solutions Collaboratory (IBioS) was formed in 2021 at UBC as a research cluster to hire new faculty members representing 8 departments and four faculties, to foster engagement between biodiversity researchers in natural and social sciences; catalyze new interdisciplinary biodiversity research collaborations; support graduate students, postdoctoral fellows and faculty in applying scholarly research and expertise towards biodiversity solutions; and mobilize knowledge for stakeholders and decision-makers. The Program Coordinator is required to manage and administer the initiative and advise in the development of new research and training collaborations and funding proposals. The successful candidate will have proven program management experience, experience in research environments and strong communication skills. The position is initially for two years with the possibility of extension pending funding.

Organizational Status
The Program Coordinator reports to the IBioS Faculty Director. In addition, they will facilitate communication among the Steering Committee, faculty members across four UBC Faculties (Science, Land and Food, Forestry, Arts), IBioS Student Fellows and Postdocs. The Coordinator will manage and be responsible for program coordination, including running existing activities and helping to identify, establish and run new activities; identifying and coordinating new funding proposals, and all ongoing administrative, communications, organizational, financial and human resources aspects of the Collaboratory. The current activities of IBioS include research clusters; monthly internal lunch discussions; a seminar series co-sponsored with multiple departments; annual retreat; Student Fellows program; website; newsletter; social media; podcast series. IBioS is currently seeking several large grants (NSERC CREATE, GCRC, NSERC Alliance) and will continue to seek additional resources and/or manage funds to support its members.

Work Performed

  • Working with the Director, Steering Committee and IBioS members on implementing the long-term strategic plan developed by IBioS in 2022, including identifying external sources of funding for the activities, new external partners, and future priority focal areas
  • Within the context of this Strategic Plan:
  • Assessing overall programmatic progress towards goals identified in the Strategic Plan through an annual survey and Annual Report, as well as tracking implementation of individual projects and activities.
  • Responsible for the implementation of specific projects for the Collaboratory. Developing and implementing core project activities, project timelines, budgets, milestones and deliverables.
  • Overseeing project progress against project timelines and budgets, liaising as necessary, and ensuring that timelines are met and milestones achieved. Following up and taking action, solving problems to ensure project targets are met.
  • Identifying and promoting funding opportunities that support new biodiversity research collaborations and partnerships, including federal research granting agencies as well non-government funding opportunities
  • Developing ideas into proposal writing and preparing for submission processes. Managing and/or participating in proposal writing and submission processes.
  • Managing and/or participating in grant management, including reporting.
  • Managing IBioS program events, including those described above and new ones to be developed
  • Directing and coordinating communications and information exchange between the Collaboratory, the UBC community, and the public nationally and internationally, via:
  • Promoting the work of the Collaboratory within the University and identifying initiatives, collaborations and partnerships with other units at UBC
  • Developing content for website and social media, including stories about IBioS\xe2\x80\x99 programs and members (Faculty, Postdocs, Students)
  • Coordinating with communications and public relations teams across participating UBC faculties and departments
Consequence of Error/Judgement

This position is critical to the development and ongoing success of the IBioS Collaboratory. The work of the IBioS Program Coordinator is subject to review by the IBioS Director . Error or poor judgement in the management of the project budget, schedules and resources and poor performance in any of the core areas of responsibility, could undermine the activities of the Collaboratory and limit the development of new research initiatives and funding opportunities.

Supervision Received
Work activities will be developed in conjunction with the Director, who is advised by a Steering Committee. The Program Coordinator will receive direction from Director, but is also expected to demonstrate initiative in planning and carrying out administrative activities (after initial direction). Policies and procedures will be developed in consultation with the Director regarding recruitment, budgeting and administrative concerns.

Supervision Given
The Coordinator is responsible for supervising work-learn students and other staff positions which may be hired in future, pending funding.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Master degree in relevant disciplines. Minimum of three years of experience or the equivalent combination of education and experience in project management and coordination. Training, education or research experience in biodiversity or natural resource research is preferred.

Ability to prioritize and work effectively under pressure to meet deadlines. Excellent written and verbal skills essential. Proficiency in computer-based environment including UBC HR and Finance software, spreadsheets, accounting, website etc. Ability to be organized and deal with a diversity of people in a calm, courteous, and effective manner. Ability to analyze problems, identify key information and issues, and effectively resolve. Ability to exercise diplomacy, tact, discretion, and confidentiality. Ability to work effectively independently and in a team environment on routine tasks as well as special projects.
