Job Description








BCIT\xe2\x80\x99s School of Construction and the Environment is seeking a temporary, full-time Program Assistant in the Construction Management Degree program. The Program Administrator is responsible for the administration and operational activities required to ensure successful enrolment and high quality delivery of the Bachelor of Technology in Construction Management program, the Associate Certificate in Site Management program and the Construction Academic Bridging Program. Responsibilities are performed with minimum supervision and under tight deadlines. Specific duties of this position include managing the logistics of courses, programs and curriculum that encompasses much of the internal administration and both internal and external coordination of the program. The Program Administrator\xe2\x80\x99s responsibilities range from initial student contact, troubleshooting, assistance with financial aid, scheduling, enrolling and counselling to tracking of all student information and marks of completed courses, while working with all other BCIT departments which require input for the successful graduation of the individual. Delivery of the courses require contacting instructors as part of the scheduling and course offering procedure, creation of schedules in coordination with the Program Head, creating the offerings of the courses with in the Banner system, creating flyer publications, arranging ancillary services and classroom allocations, developing and maintaining a financial tracking system, creating teaching and course development contracts, advising instructors and coordinating activities with industry, agencies, contractors and BCIT service departments. Other duties include providing support to the program head and instructors with course development, the marketing of the program and supplying financial and enrolment reports to the Program Head and Associate Dean upon request. This position reports to the assigned Associate Dean of Construction and works directly with appropriate Managers, Program Heads, Program Assistants and Coordinators.


Duties & Responsibilities

DUTIES & RESPONSIBILITITIES :

  • Administers and coordinates the scheduling, and delivery of the part-time and full time offerings of the Construction Management Degree Program, part-time Associate Certificate in Site Management Program and the part-time Construction Academic Bridging Program.
  • Develops and manages data on large relational database application word processing, desktop publishing and financial tracking systems.
  • Collaborates as an essential team member within a matrix structure that includes Program Heads/Coordinators, faculty, managers and Program Assistants within and across school boundaries.
  • Advises and provides information to both student and industry customers about the programs, will orient, coordinate and resolve problems.
  • Supports, coordinates and develops forms, documentation, contracts, Letters of Agreement, schedules, mail-outs, reports, student and instructor orientation packages, marketing documents and supplies and certificates.
  • Administers the complex logistics of courses offered in a variety of formats for Part-Time studies.
  • Initiates and processes sensitive financial information, including all instructional and developmental contract documents and invoices, cross charges, purchase requisitions, student fees and accounts payable transactions.
  • Maintains up-to-date comprehensive knowledge of BCIT\xe2\x80\x99S program, policies, procedures and process systems.
  • Compiles, prepares and distributes marketing materials for Part-Time studies. Publications include Part-Time Studies flyer, program flyers, program brochures, newsletters and announcements.
  • Provides orientation assistance to faculty and students.
  • Functions as a liaison with Associate Deans, Coordinators, Faculty, Support Staff, Students and the Advisory Committee.
  • Based on a through knowledge of program requirements and courses primarily listed in the PTS flyer, provides course/program advising and recruitment information to prospective students; refers students to information resources, appropriate agencies, counseling, financial aid, or faculty referrals as required.
  • Organize and prioritize tasks, exercises considerable initiative and creativity on an on-going basis to ensure objectives, deadlines and client needs are accomplished.
    Undertakes related duties as assigned, consistent with the job grade of this position.



Qualifications

QUALIFICATIONS :

Education:
  • Requires the equivalent of full secondary school plus additional specialized training of up to 1 year duration, i.e. full administrative program, BCIT certificate program.



Experience:
  • Requires two years experience plus up to two years\xe2\x80\x99 practical current experience on this and related jobs inside or outside the Institute.


Software/Computer Application(s) and Expertise:
  • Advanced knowledge and demonstrated use of Microsoft Office applications, Word, Excel and Access, production software, including desktop publishing.


Communication/Interpersonal Skills:
  • Must be detailed oriented. A strong customer service orientation and a commitment to high standards of quality. Excellent interpersonal, organizational and problem solving. Ability to work well within a team structure.


Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.):
  • Ability to establish priorities, work to tight deadlines, troubleshoot, problem-solve and make responsible decisions independently and as a team member.


Other Skills/Abilities:
  • Familiarity with the program structures, BCIT systems and procedures would be an asset. A high degree of flexibility, initiative, independence, diplomacy, reason and judgment are required.

Salary Range
Salary Grade 6: $49,090 - $53,170 per annum.


Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
