Position Overview
As a Procurement Coordinator, you will play a key role in supporting Xenali's international sourcing operations. You'll work directly with overseas manufacturers, logistics partners, and internal project teams to ensure materials are ordered, produced, and delivered efficiently and on time. This position is ideal for a supply-chain graduate or early-career professional who is detail-oriented, analytical, and thrives in a collaborative business setting.
Key Responsibilities
Manage purchase orders, vendor quotes, and confirmations with international suppliers (primarily Asia).
Negotiate pricing, lead times, and payment terms in alignment with Xenali's cost and delivery goals.
Track order progress and proactively resolve supply issues or delays.
Coordinate shipping schedules, freight forwarding, and customs documentation.
Ensure accuracy of import paperwork, HS codes, and Incoterms.
Monitor inbound shipments and communicate delivery updates to project and warehouse teams.
Analyze supplier pricing to identify cost-saving opportunities and benchmark competitiveness.
Maintain a procurement database with landed cost tracking and supplier performance metrics.
Collaborate with finance on currency exchange, deposits, and reconciliation of supplier invoices.
Support Estimation & Execution teams in project pricing, scheduling, and material planning.
Liaise with Marketing for new product documentation and vendor capability updates.
Participate in supplier qualification and onboarding initiatives.
Qualifications
Education & Experience
Post-secondary degree or diploma in Supply Chain Management, Business Administration, or International Trade.
1-3 years of relevant procurement or logistics experience preferred (co-op/internship experience considered).
Skills & Knowledge
Understanding of global supply chain principles, Incoterms, and freight logistics.
Proficiency in Microsoft Excel (pivot tables, data analysis).
Experience with ERP or CRM platforms (NetSuite or Zoho One is an asset).
Excellent communication skills and attention to detail.
Strong time-management and problem-solving abilities.
