Job Description


As the result of a recent acquisition, a program has been initiated to integrate people, processes and technologies into one organization. At present, the focus is on stabilizing both environments to enable people and process integration activities in the upcoming months.

Initially, the Process Analyst will work with business managers to stabilize functions and processes that lack efficiency and/or effectiveness. This activity will include analysis of current state processes and identification of quick win opportunities to improve overall operations. Once stability is achieved across both legacy organizations, the Process Analyst will then focus on process integration.

During the integration phase, the Process Analyst will leverage their strong facilitation and analytical skills, as well as their Lean Six Sigma and Project Management disciplines, to facilitate the amalgamation of business processes across the two legacy organizations. The Process Analyst will support the creation of future state implementation plans, including a mechanism to collect process performance data, to ensure the successful transition of people, process and technology. Process optimization and performance measurement are key focus areas.
How does the Process Analyst contributes at TMX in this role?
Phase 1 - Process Stabilization


  • Facilitate cross-functional Kaizen sessions to identify quick win opportunities to improve current state legacy processes

  • Build strong and trusting relationships with business leads to empower and encourage them to challenge the status quo and to identify and implement quick win opportunities within their areas

  • Consciously encourage a continuous improvement culture by instilling Process Owner role and accountabilities in business leads

  • Assess the potential challenges/risks with the implementation of process changes and work with business leads to identify and implement change management tactics to ensure successful adoption

  • Support the implementation of quick win improvement opportunities by holding business leads accountable to implementation dates

  • Effectively document and report progress and status of process stabilization initiatives

Phase 2 - Process Integration

  • Objectively facilitate complex cross-functional process design sessions to streamline and re-engineer the core business processes of two legacy organizations; build and document recommendations for an integrated future state design

  • Analyze current state processes and guide/influence Process Owners to adopt process improvement opportunities that result in the reduction of costs, decrease in process cycle time, and improvements in quality/customer satisfaction

  • Document process improvement workshop output to effectively illustrate future state processes and to identify and capture improvement and measurement opportunities

  • Gather and analyze process data to identify process performance areas, future state metrics and to establish a process performance baseline

  • Guide the solution proposal and business case process and ensure the cost/benefit process improvement and optimization opportunities/recommendations identified in process design workshops are clearly documented

  • Prepare and support the presentation of process design/improvement summary reports to internal stakeholder groups

  • Utilize effective Project Management skills to build and manage future state process implementation plans

  • Provide support to the Change Management team to ensure change strategies and tactics are efficiently implemented

  • Support the project team with proactive improvements to the existing process improvement methodology and ad hoc requests as required

Requirements

  • 5+ years of process mapping, process/data analysis and process optimization experience

  • A degree/diploma program or equivalent degree in a field of study is required i.e., Process Engineering, Business Analysis

  • Experience working within the financial services industry and working knowledge of Transfer Agency operations is an asset

  • Knowledge of Lean, Six Sigma and/or other Business Process Management methodologies. Formal training in process analysis is preferred.

  • Experience with change management and project management tactics and methodologies is an asset

  • Knowledge of the Google Workspace applications: Docs, Sheets, Slides and Lucid Charts

  • Strong data mining abilities and analytical skills with the curiosity and instinct to know where to look and find the right insights

  • Advanced knowledge of Google Sheets to analyze/reconcile process related data

  • Experience using Tableau to analyze large sets of data would be helpful

  • Experienced in facilitating Kaizen and process mapping sessions leading large cross-functional teams to achieve a common goal

  • Experience in training and coaching of frontline employees and leaders

  • Ability to document, analyze and communicate business needs to IT partners in a clear and straightforward manner

  • Ability to decipher the various levels of business process, document complementing process maps, and conducting gap analysis, time/volume studies, interviews and statistical analysis

  • Ability to be flexible and offer alternative solutions in achieving objectives when organizational constraints, such as resource availability and work priorities, require the need to pivot

  • Possesses creative problem-solving skills with the ability to rapidly assess ambiguous situations and provide the most viable options/recommendation for solution

  • Ability to work independently on assignments, with tight schedules under minimal direction

  • Strong organizational and time management skills;Strong analytical skills, able to manipulate large and complex data sets in order to identify opportunities and quantify change ability to manage priorities, meet deadlines, and plan work schedules in a highly dynamic environment
