Mohawk College is currently recruiting for our next Pre-Apprenticeship Support Officer Reporting to the Associate Dean, Electrical, Transportation and Innovation, the Pre-apprenticeship Program Support Officer is responsible front-line administration support for a variety of apprenticeship related programs including Pre-apprenticeship and OYAP. The incumbent provides customer service to students, faculty, support staff, community partners and general public inquires. The incumbent must be able to function at a level that requires independent problem- solving and decision – making skills.
RESPONSIBILITIES: The duties of this position will include, but are not limited to the following: Proposal Support

  • Support program proposal submissions by gathering community letters of program support.
  • Support research initiatives.
Supporting recruitment processes
  • Maintaining future recruitment database. Logging incoming inquiries and requests. Responding to program inquiries during key intake times.
  • Maintaining applicant database.
  • Support Marketing initiatives- SMP, flyers, outreach.
  • Reviewing applicant eligibility-fact checking application documents.
  • Supporting interview schedule where appropriate.
  • Creation of materials for Mohawk Information sessions (online and in person).
Program Planning and Start-up
  • Support orientation efforts. Presentation support/creation, handouts, supply distribution etc.
  • Distribute and track student forms: verification, declaration and Mohawk apprenticeship forms.
  • Assist in the organizing of text and courseware and distribution and tracking of surplus, returns etc.
  • Support the collection of PPE sizing, distribution and tracking.
  • Create and maintain all student lists and registration for external vendors and training- i.e.- Community Employment Services, Ozone Depletion Registration, First Aid, Working at Heights etc.
  • Assist with day to day program planning. I.e.- lockers, parking, one card inquiries.
  • Support Career Ready training initiatives. i.e.- support arrangements related to workshops, guest lectures, mock interviews.
  • Assists with orientating new staff - access to classes/offices/setting up computer/printer/troubleshooting and guiding to other staff members if question is outside scope.
  • Reviews website to ensure content is current – recommends new changes and updates website in a timely manner or escalates to Marketing to be updated.
  • Provides assistance with calendar pages, program pages, marketing materials, coordinating updates and reviewing for accuracy.
  • Invigilator organization – gather invigilator requirements for department, use current list of staff, determine if more staff are needed and loop in Operations Manager, create contracts, support with timesheet entry.
  • Process any supplemental department offerings/certificates – i.e. security licensing, private investigator licensing.

QUALIFICATIONS: The successful applicant must have:
  • A minimum of 2-year post-secondary diploma in Business/Office Administration, or related field; equivalent combination of education and experience.
  • Three years of practical and related experience in an educational environment where there is a strong emphasis on interpersonal skill and customer service, preferably a post-secondary setting.
  • Knowledge of Microsoft office products is essential, including Access, Word, Excel, PowerPoint. Familiarity with Mohawk College programs is desirable; including, MyMohawk mail and groups, Fast Suite, ART, SCT Banner.
  • Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively inter-culturally with diverse groups of students, employees and the community.
