Summary
This Position is responsible for supporting the development review process under the direction of the Manager, Development Services. This involves the receipt and processing of permit applications; preparation of materials for the multi-step review process and the documentation and filing of development projects.
Organizational Status
This position reports to the Manager, Development Services.
Work Performed
Prepares, manages and updates project planning documentation for project applications; coordinates development permit and streets and landscape permit approvals for institutional and non-institutional projects; establishes and maintains the permit application files; manages the permit tracking system and data base; evaluates and prepares a written assessment of applications based on compliance with plans.
Receives and processes technical components of development applications, including maps and 3D virtual models and other documents as necessary for public information.
Reviews and assesses applications for conformity with university plans and policy guidelines in preparation for discussion with management staff.
Conducts research related to planning, architectural and landscape design, heritage and other related matters and prepares associated reports and/or guidelines.
Researches and maintains computerized inventories and databases of all planning and development related information; prepares updates and distributes planning documentation and material.
Provides support to committees, panels or boards, such as, Development Review Committee, Streets and Landscape Committee, Advisory Urban Design Panel and Development Permit Board; coordinates agendas, assists with meeting preparation, attends meetings and coordinates/takes minutes and follows up with committee decisions and direction.
Assists in the design of public information and meetings and processes; coordinates and composes advertising for and attends Public Meetings and Open Houses; responds to questions from the public, interpreting planning, architecture and landscape aspects of proposals; responds to enquiries about applications and development review procedures; and documents feedback.
Carries out any other related duties as required in keeping with the qualifications and requirements of positions in this classification.
Consequence of Error/Judgement
Errors in documentation and permit application assessments can result in public relations problems, delays in scheduling, and problems with cost overruns.
Supervision Received
Works under the general direction from the Manager, Development Services; receives specific instructions on unusual problems or matters departing from established practices; may receive direction from other professional staff.
Supervision Given
May supervise consultants and resource people on planning projects.
Minimum Qualifications

Preferred Qualifications
A technical diploma(s) in a relevant program related to Planning, Architecture, Landscape Design.Minimum 5 years of related experience or the equivalent combination of education and experience.Demonstrated ability with standard office software (Microsoft Office, Word, Excel, PowerPoint and Access) and familiarity with Geographic Information Systems (GIS) and related graphics software applications.
Knowledge of planning terminology and processes is necessary. The position requires a high degree of flexibility, organizational ability, accuracy, judgment, interpersonal relationship skills and the ability to communicate clearly and concisely.
