In support of achieving excellence and business results through safe, reliable operations, we currently have a Personal Assistant rotational opportunity available.

The Personal Assistant will provide efficient confidential administrative support and secretarial services. This includes (but is not limited to) composing and/or processing correspondence, word processing, scheduling, travel and meeting arrangements, time management, action tracking, records management and confidential services to more than one Vice President and Officer of the Company. The subject matter of issues in the office may cover a number of areas including employee relations, labour relations, contract negotiations, nuclear and public safety, nuclear operations and maintenance, security and media relations.

This is a temporary position which may be for a period of up to 12 months, offers a competitive compensation package and is located on-site in Tiverton, Ontario.

Key Responsibilities:

  • Proficient in English grammar and sentence structure. Familiarity with business, commercial and legal terminology
  • Proficiency in personal computer operation and associated software applications (Microsoft Word, PowerPoint, Excel, Access), etc.
  • Advanced comprehensive knowledge of secretarial and office practices and procedures, business correspondence, and information management related to the effective operation and organization of an executive office
  • Focus on customer needs and departmental objectives
  • Good written and oral expression skills to serve the communication needs of the office
  • Ability to use text editing, spreadsheets/databases, presentations, desktop publishing and templates. Familiarity with Passport, internet, email system, electronic calendars and contact lists
  • Strong commitment to high quality to consistently meet corporate presentation standards in the preparation of correspondence, reports, contracts, Board and management Committee packages as befits a corporate office
  • Excellent public relations skills to ensure cordial and effective interactions with both internal and external clients
  • Ability to exercise tact, discretion and good judgment with confidential and sensitive information and material
  • Flexibility to adapt to multiple demands, changing priorities and deadlines
  • Effective time management skills
  • Ability to work independently and anticipate needs with minimal direction
  • Experience in handling complex communication and information processes
  • Ability to assimilate and assess information received, in order to recognize when prompt action is required and whom to direct inquiries
  • Strong communication skills to act as a liaison and communicate effectively with all levels of senior management, employees, and external contacts
  • Demonstrated initiative and ability to work with minimal direction
  • Maintenance of confidentiality
  • Perform other duties as requested
Education and Experience
  • The ideal candidate will have a secondary school diploma and a relevant college diploma with concentrated studies in business administration and/or executive secretarial services
  • Experience in a legal office
  • Additional training in business administration and/or secretarial services would be an asset
  • Candidates must have a minimum of four (4) years of relevant experience in a secretarial/executive clerk role
