PE - Bilingual Branch Coordinator

Hours of work: 7:15 am to 3.45 pm (with one-hour unpaid lunch), Monday to Friday

About the Position




Reporting to the Principal and/or their delegate, you will work closely with the Administrative Assistant and be responsible for a variety of administrative, organizational, and IT-related tasks, including:

Performing general reception duties, including welcoming visitors, answering phones, and monitoring and operating security doors; Ensuring the main entrance and reception area are well-organized and presentable (posters, bulletin boards, displays, flower arrangements, etc.); Promoting and supporting the use of the French language within the school environment; Managing student attendance using internal systems and updating records accordingly;
Maintaining and updating Ontario Student Records (OSR) in line with Ministry of Education guidelines;

Typing, editing, and formatting routine correspondence and documents;
Providing general clerical and administrative support to the Principal or delegate as needed; Overseeing the proper administration of First Aid, completing required documentation, and tracking health and safety incidents (e.g., lice program, contagious diseases, emergency drills); Communicating urgent facility or maintenance needs to caretakers/maintenance staff;
Supporting the management of school cell phones and monitoring photocopier use and supplies;
Supporting the organization of school events and field trips, including preparing materials, posters, invitations, and helping with logistics; Monitoring and tracking expense reports, class budgets, and supply inventories; Assisting with office calendars and scheduling for staff and parents;
Handling basic purchasing duties for the branch (supplies, tracking inventory, etc.);
Providing temporary coverage for support staff during breaks, including lunch periods, recess, and other absences; Contributing to the efficient functioning of the office by organizing files, maintaining records, and ensuring digital systems (Excel, Google Drive, etc.) are well-structured and up-to-date; Assisting with data entry and reports using software tools (Microsoft Excel, Google Workspace, etc.); Being available to work overtime during peak periods when necessary;
Demonstrating punctuality and reliability at all times;
Performing other administrative and organizational duties as assigned.

Excellent communication skills in both French and English (oral and written) Strong organizational skills and attention to detail, especially in handling digital files and spreadsheets Proficiency with tools such as Microsoft Word, Excel, Google Drive, and other office software (knowledge of FileMaker Pro or Veracross is an asset) Excellent interpersonal skills and the ability to build positive relationships within the school community
A warm, approachable attitude and comfort working around young children
Ability to multitask and adapt in a fast-paced environment Previous administrative experience in a school or similar setting High school diploma or equivalent required
