Job Description


As the Payroll Specialist you will be responsible for preparing, coordinating, and processing of bi-weekly and semi-monthly payroll, and monthly, quarterly, and annual incentive payrolls for multiple entities\xe2\x80\x94representing 350+ employees.

The following is a list of responsibilities and essential functions, which must be completed to be successful in this role:

PAYROLL:

  • Ensuring accuracy of time sheets, earnings, benefits, deductions, garnishments, and tax calculations.
  • Administration of 401k and RRSP deductions.
  • Maintaining knowledge of provincial, state, and federal laws and ensuring compliance.
  • Review payroll pre-processing reports prior to transmission to ensure accuracy of all information and follow-ups on and resolve discrepancies promptly.
  • Prepare payroll and benefits journal entries for approval and posting
  • Implementing improvements to processes to increase efficiency.
  • Providing timely, high-quality customer service to our employees.
  • Working closely with other departments and groups to resolve issues and exceed service expectations.
  • Building and maintaining close coordination with Human Resources to ensure proper flow and maintenance of employee data.
  • Maintaining a high degree of professionalism and integrity, while demonstrating strict confidentiality and maturity.
  • Assisting with audits for payroll, retirement plan and workers\xe2\x80\x99 compensation.
  • Demonstrating a desire to continuously learn; increasing your knowledge of payroll law and ADP software, etc.
ACCOUNTING:
  • Preparing payroll general ledger entries and month-end accruals using ADPs G/L interface.
  • Completing regular reporting and analyzing payroll variances to provide insight and ensure accurate financial statements as it relates to employee data.
  • Assisting the accounting team with daily treasury and reporting needs.
  • The ideal candidate will have the ability to handle the following tasks or increase their ability to do the following:
  • Assist with month-end close relating to payroll accounts, including journal entries, reconciliations, and fluctuation analysis.
  • Assist team with non-payroll accounting as time permits.
Qualifications:

To be considered, you will have the following basic qualifications:
  • Payroll Compliance Professional (PCP), Certified Payroll Professional (CPP), or Fundamental Payroll Certification (FPC).
  • Minimum of 3 years\xe2\x80\x99 experience with all payroll functions.
  • Daily use of and Intermediate Microsoft Excel skills required.
  • Strong knowledge of Multi-State and provincial payroll tax laws and related federal reporting requirements.
To be at the top of our list, you will also have the following preferred qualifications:
  • Experience with ADP Workforce Now preferred.
  • Experience with accounting software Sage is preferred.
  • Bachelor\xe2\x80\x99s degree in Accounting, Finance, Business Administration, or similar discipline preferred.

  • Ability to work independently while communicating and coordinating effectively.
  • Excellent analytical/problem solving skills, written/verbal communication skills, and interpersonal skills.
