The Payroll & HR Administrator will be responsible for accurate and timely payroll processing, benefits administration, and ensuring compliance with federal and provincial payroll legislation.
This role requires a high level of integrity and discretion in managing sensitive employee information, along with exceptional attention to detail to maintain accuracy in all payroll and benefits transactions.
What You'll Do
The Payroll & HR Administrator is responsible for the accurate and timely processing of payroll, payroll accounting, and HR administrative functions including recruitment coordination, onboarding, employment contracts, and benefits administration. This role ensures full compliance with payroll legislation and internal controls while also supporting key HR activities related to employee lifecycle management. Key responsibilities of this role include:
Payroll Processing & Administration
Process full-cycle payroll for hourly, salaried, and contract employees on a bi-weekly basis.
Validate and input time and attendance data, ensuring compliance with federal and provincial labour standards.
Administer vacation, overtime, statutory holiday pay, retroactive adjustments, and termination payouts.
Maintain and update employee payroll records for new hires, changes, and terminations.
Administer and reconcile statutory and voluntary deductions.
Respond to employee inquiries regarding payroll, benefits, and related policies in a timely and professional manner.
Payroll Compliance & Reporting
Ensure compliance with CRA regulations and provincial legislation (e.g., remittances, source deductions).
Prepare and remit payroll-related taxes and other government ?lings.
Prepare and distribute T4s, T4As, ROEs, and other year-end documentation.
Stay current with payroll legislation and best practices, implementing changes as needed.
Payroll Accounting & Reconciliation
Track and report on accrued liabilities such as vacation pay.
Reconcile bene?t provider invoices and payroll liability accounts monthly.
Recruitment & Onboarding
Support recruitment activities.
Draft employment o?ers letters and contracts.
Facilitate onboarding documentation and ensure timely entry into payroll systems.
Maintain organized and up-to-date recruitment and onboarding records.
Group Benefit Administration
Administer group benefits plans including enrollments, terminations, and employee changes.
Act as primary contact with benefit providers for day-to-day issues and reporting.
Provide employees with benefits information and support during onboarding or life events.
Maintain and safeguard confidential employee files and HR records.
Qualifications and Experience
Post-secondary education in Business Administration, Accounting, or Human Resources (or an equivalent combination of education and experience)
2-4 years of experience in payroll administration, benefits administration, or HR coordination.
Experience supporting recruitment processes including job postings, applicant tracking, interview coordination, and onboarding documentation.
Familiarity with payroll systems (e.g., ADP, Ceridian, Dayforce) and HRIS platforms.
Strong understanding of federal and provincial payroll legislation, employment standards, and reporting requirements.
Proficiency in MS Office Suite (Excel, Word, Outlook) with strong data management skills.
Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
High attention to detail, accuracy, and problem-solving ability.
Strong interpersonal and communication skills for interacting with employees, managers, and external providers.
Ability to maintain confidentiality and demonstrate a high degree of integrity.
