Summary



We are seeking a Part Time Finance Assistant to join our team in Georgina. This role is crucial in ensuring the smooth operation of our financial processes, contributing directly to our mission of supporting individuals with developmental disabilities. The Finance Assistant will play a key role in maintaining accurate financial records and providing administrative support.

DUTIES AND RESPONSBILITIES:

A. BOOKKEEPING

Accounts Payable

1. Process invoices with Adagio Accounting Software.

2. Process bi-weekly system cheque run.

3. Verify and monitor vendor statements and due dates to ensure payables are up-todate and remitted in a timely manner.

4. Copy invoices required for entry in cost recovery, passport and inventory database.

Accounts Receivables

1. Collect and prepare all invoicing information in EXCEL worksheets.

2. Produce invoices on monthly bases with Adagio Accounting Software.

3. Distribute monthly invoices.

4. Process cash deposits in Adagio Accounting Software

Cash Management

1. Post direct debits/credits on bank statements to Adagio Bank Reconciliation 2. Post cleared cheques to Adagio Bank Reconciliation

3. Prepare monthly bank reconciliations.

A. ELECTRONIC FUNDS TRANSFERS

1. Collect and prepare all payments required for Electronic Funds transfer processing and submit to the Finance Officer in a timely manner.

B. PASSPORT

1. Extract from payables and client finances, appropriate passport submissions and enter in Transfer Payment Agency portal.

2. Provide re-imbursement and/or make adjusting entries for passport submissions.

3. Provide monthly reports to programs regarding passport funding balances.

C. CLIENT FINANCES

1. Review client finances for accuracy and follow-up with Program Supervisors regarding discrepancies. Extract admissible passport receipts for submission.

2. Ensure client finances are received in a timely manner.

D. FINANCIAL INFORMATION SYSTEMS MANAGEMENT

1. Monitor and maintain in co-ordination with the Financial Officer all agency inventory listings to ensure they are up to date.

2. Within the inventory database, prepare and generate queries and reports to provide information requested from time-to-time.

E. FINANCIAL REPORTING

1. Provide backup to the financial officer for the preparation of time sensitive government reports.

F. GENERAL

1. Undertake other related financial duties as may be assigned by the Financial Officer.

2. Maintain confidentiality when dealing with personnel and agency related matters.

3. Perform other duties as assigned from time to time.
