Overview

Term: 18 Months

The Outreach Coordinator (OC) (General) is responsible for the development and delivery of programs aimed at elementary, secondary, and post-school audiences that fulfill the Faculty's outreach mandate. The OC will also aid and interact with other like-minded groups as directed by the Faculty of Engineering's Associate Dean Outreach and Senior Manager.

This role is contingent on funding.

Responsibilities

Organize and deliver programming for elementary, secondary, and post-secondary school age audiences

  • Responsible for logistics of programs and events with support of Engineering Outreach team including space booking, staffing, hospitality and materials
  • Develop content and schedule for the event. Programming must be appropriate for audience. Examples of programming include arranging tours of research labs, presentations by staff/faculty on campus, guest speakers, and hands-on activities
  • Liaise with the Program Delivery Team Lead (PDTL) on activities and manpower to support the events and programs
  • In consultation with Senior Manager, ensure that adequate supervision is provided; this may include hiring and solicitation of previous staff
  • Collaborate with PDTL on training and supervision of staff and/or volunteers in a manner appropriate for the event
  • Document programs and events (text and photos) and report on outcomes for future improvement
  • Setup and oversee registration
  • Communicate with any campus stakeholders (for example room booking or parking)
  • Maintain awareness of research / new technologies that could impact programs
  • Develop and use tools to assess success of program activities. Assessment may be used to share success with other programs through papers and conferences
  • Ensure the safety of all program participants
  • Maintain program/event budgets and cost tracking
  • As some travel may be required, available for weeklong (day/night) trip to a location outside Waterloo for (transportation and housing provided for overnight trips ONLY)
  • An example of events and programs that will be organized and delivered include:
  • Community programs and events aimed at targeted audiences
  • Women in Engineering Events and Programs
  • ESQ (Engineering Science Quest) Programs and events
  • ESQ camps (both summer and March Break camps)
  • Summer leadership programs
  • School workshops and STEM nights
  • Other programs as directed by Senior Manager, Engineering Outreach
Promotion and communication of activities
  • Advertise and promote events and programs through the website, printed media, social media and other means
  • Oversee the compilation and distribution of program newsletters
  • Communicate with program and event stakeholders before/during/after the program as appropriate. This includes answering questions about programs and registration process, preparing information packages, and performing post event/program surveys
  • Communicate with external stakeholders (i.e. school boards, community partners) to find best way to promote programs and understand the needs of the audience
  • Communicate and promote work with other local (i.e. staff, faculty, community partners) and national stakeholders (i.e. Actua)
  • Support the preparation of and delivery of reports for funders, partners and other interest groups
Other office roles may include
  • Work in collaboration with other Outreach Coordinator(s) in planning and delivery of programming outside of given portfolio
  • Supervision of short-term (i.e. co-op, casual hires) staff
  • Support and development of shared office resources, such as Google Apps information sharing portal and support technology
  • Support graduates / undergraduates with coordination and running of their events as directed by Senior Manager
  • Special task/projects as assigned by Senior Manager
  • Office wide administrative tasks as assigned
Qualifications
  • Undergraduate degree (Science or Engineering preferred) or equivalent education and related experience
  • Several years' experience with development and delivery of engineering/science based programs to youth
  • Experience with Google Apps / Microsoft Office for sharing of knowledge across programs
  • Training or experience with program assessment and research is desirable and previous experience with camp programming and working with youth with special needs are assets
  • Strong communication and time management skills
  • Demonstrated ability working with teams composed of diverse audiences (age, gender, cultural) and needs (research, delivery, promotional) and in building strong mentoring relationships
  • Vulnerable sector check required
