Optometric Assistant/receptionist

Job Description

We are a fast growing optometry clinic and optical shop in the southeast corner of the city. We strive to offer the most thorough and personalized eye care possible while working in an enjoyable and supportive team based environment. We offer primary eye care services including pediatric eye exams, advanced disease management and contact lenses in addition to specialty services in myopia management.



The Optometric Assistant plays a key role in delivering an excellent patient experience by supporting both front-desk operations and clinical operations while ensuring the highest level of patient care. The successful candidate will be responsible for welcoming patients, managing appointments, handling insurance billing, and assisting with pre-testing.

Key Responsibilities:

Greet and check patients in and out in a professional and friendly manner Schedule and confirm appointments Answer phone calls, respond to inquiries, and manage emails and voicemails Receive and upload faxes to EMR Process payments and provide receipts Maintain accurate patient records and update demographic information Handle patient flow and ensure timely service
Insurance Billing & Administrative Duties:

Verify insurance eligibility and benefits Submit insurance claims and follow up on outstanding balances Explain insurance coverage and fees to patients Manage billing questions and resolve discrepancies Maintain confidentiality and comply with privacy regulations
Clinical Support & Pre-Testing:

Perform pre-testing procedures including: Autorefraction and keratometry Tonometry (IOP measurement) Visual acuity testing Retinal imaging (OCT and fundus photography) Prepare patients for examination by gathering medical and ocular history Clean and prepare exam rooms between patients Assist the optometrist during exams when needed
Patient Education & Support:

Provide basic patient education on eye health, testing procedures, and contact lens care Reinforce treatment instructions given by the optometrist
Qualifications & Skills

High school diploma or equivalent required Office experience required and Optical experience considered an asset Postsecondary education in medical office administration or optometric assisting preferred Experience in a medical or optical office is an asset Knowledge of insurance billing and electronic medical records (EMR) systems Strong communication and customer service skills Excellent organization and time-management abilities Ability to multitask in a fast-paced environment Attention to detail and professionalism Willingness to learn and adapt to new technologies and procedures
Working Conditions

Combination of desk work and standing/walking throughout the day Exposure to clinical equipment and patient care environments Tuesday and Thursday evenings until 7pm as well as Saturdays
