Operations & Marketing Coordinator
, you'll play a vital role in bringing this vision to life. You'll help design and maintain the systems that power our operations, coordinate our listings and marketing, and ensure every client and agent experience runs smoothly from start to finish.
You'll be the connector -- the one who keeps The Hive organized, consistent, and in motion. Your work will directly impact our agents' ability to scale their businesses, serve their clients better, and thrive in both business and life.
About the Role
This role is
70% operations/admin and 30% marketing coordination.
You'll manage day-to-day systems, listings, and client processes while keeping our brand presence consistent online. The ideal candidate is highly organized, tech-savvy, and thrives on structure, checklists, and efficiency -- not creativity or design.
What You'll Do
Operations & Admin (70%)
Coordinate and track all deals from contract to close -- manage paperwork, compliance, deposits, and communication with brokerage admin and clients as-needed.
Prepare and manage listings: schedule photography, staging, cleaners, signage, and trades.
Maintain organized team systems (Google Drive, Follow-Up Boss, Command, etc.) and document workflows.
Support database management, client touchpoints, and client event planning & logistics.
Manage client gifting, lockboxes, keys, and other day-to-day admin tasks.
Marketing Coordination (30%)
Upload and deliver pre-created social media content (posts, stories, reels) with a local focus and respond to follower messages.
Keep website content current -- bios & blogs
Maintain brand consistency across all materials and templates.
Plan and organize team events; take photos and post recaps on social media.
Schedule and send monthly newsletters and property marketing emails via CRM.
Enter leads into the CRM, tag appropriately, and include in drip campaigns
What We're Looking For
2+ years of experience in real estate administration, marketing coordination, or operations.
Strong organizational and time-management skills -- thrives on systems and structure.
Tech-savvy with Google Workspace, Canva, and Follow-Up Boss (KW Command an asset).
