Business Operations & Marketing Coordinator

Job Duties and Responsibilities:



Operations & Administration



Partner directly with the Business Manager to manage business processes, reporting, and internal coordination. Be the friendly face (and voice!) of Connected Vehicles -- greeting visitors, answering phones, and managing general inquiries with professionalism. Manage incoming and outgoing mail, courier packages, and office supply inventory -- ensuring our workspace stays stocked, stylish, and functional. Oversee daily administrative and financial coordination including accounts receivable/payable, billing, invoicing, and collections tracking. Match, post, and verify billing documentation, maintaining accurate accounting records. Maintain warranty records, vendor files, and company documentation. Track warranties and maintain organized records for quick access and compliance. Assist with data entry, reconciliations, and support the accounting department as needed. Prepare monthly financial summaries and help streamline data flow between sales, service, and accounting. Stay on top of daily operational tasks and reports to keep the business running like a well-oiled machine.

Client & CRM Management



Maintain and update client lists, opportunities, and contact records in CRM (Salesforce or equivalent). Track leads, contracts, and renewals to support the sales and customer success teams. Generate and distribute client invoices, statements, and billing reports. Ensure CRM data integrity and assist with pipeline and revenue reporting. Provide customer support for billing inquiries and coordinate resolution with accounting. Maintain collection goals and complete receipts for third parties as required.

Marketing Support



Assist with the execution of marketing campaigns (email, digital, and social). Maintain company website content, social media posts, and promotional materials in coordination with marketing leadership. Help track marketing analytics, lead generation metrics, and campaign ROI reports. Support trade shows, client events, and product launch logistics. Manage digital assets and contribute creative ideas for brand and marketing growth.

Culture & Communication



Coordinate company events, staff communications, and employee engagement activities. Maintain strong internal communication between departments. Represent Connected Vehicles with professionalism and a customer-first mindset. Act as a key support resource across teams, ensuring smooth daily operations and exceptional customer experiences.

Qualifications



3-5 years of progressive experience in operations, marketing coordination, or executive support. Strong understanding of CRM platforms (Salesforce or similar). Proficiency in Microsoft Office (Excel, Word, PowerPoint) and comfort with marketing tools (Canva, Mailchimp, social media platforms). Financial literacy -- understanding of billing, invoicing, and reporting. Excellent written and verbal communication skills. Highly organized, proactive, and capable of managing multiple priorities. College or university diploma in Business, Marketing, or Administration preferred. Valid G driver's license.

Pay: $52,000.00-$58,000.00 per year
