This position oversees the departmental budget for the budgeting process and ongoing financial management. The incumbent also works closely with the Associate Vice President, OAREHRS to provide administrative supports and is responsible for the coordination of activities related to AODA committee coordination. The incumbent is also responsible for directing case requests that fall within the mandate of OAREHRS related to Human Rights Code, Sexual Assault and Violence Policy and Accessibility for Ontarians with Disability Act (AODA) via email or walk-in to the relevant case advisor for follow-up and/or resolution of issue. The incumbent must possess solid understanding of budgeting, financial analysis and office administration and a commitment to upholding the colleges values and OAREHRS commitment to anti-racism, human rights, equity, and inclusion. Based on service needs, travel to other campuses may be required to support office operations.Key responsibilities:

  • Works with the Associate Vice President, OAREHRS to develop divisional budget for all departmental activity, adhering to established fiscal frameworks and College planning cycle; and with other members of divisional management team to ensure divisional budget accounts for all regular activity and targeted strategic initiatives.
  • Plans and oversees the execution of purchases for the department, ensuring optimum use of resources and effective cost-control and achievement of objectives.
  • Prepare draft quotes, contracts for new projects, process all invoices and track expenditures.
  • Acts as the Administrator of office case management system, coordinates regular system updates, liaises with external vendor and ITS department on current functionality and regularly tests system capabilities and explore/implement new system functionality. Manages AVP, OAREHRS calendar and provides administrative and office support (ex. supporting events planning).
  • Responsible for understanding and interpreting all policies governing the work, this includes Ontario Human Rights Code, Sexual Assault, Sexual Violence, AODA. at a basic level to ensure no breach of confidential information during a case.
  • Works closely with the Manager, Accessibility and AODA compliance to coordinate and support the requirements outlined in the Accessibility for Ontarians with Disabilities Act (AODA) and other relevant legislation, in conjunction with the AODA Advisory Committee.
  • Assists the Manage, Accessibility and AODA Compliance in ensuring compliance and timely reporting according to accessibility standards as indicated in AODA legislation.
  • Works with AVP and management team on year-end reconciliation of departmental/divisional budget.
  • Coordinate and leads the recruitment of students in the work study program each academic year.
  • Manages the day-to-day activities within the office including monitoring social media account, supporting the on-boarding of new staff and students (i.e., setting up technology, systems and office access, review of office procedures).
  • Work with AVP OAREHRS to manage calendar, schedule meetings, attend identified meetings, develop agenda, take, and distribute accurate minutes.
  • Other duties as assigned.
Educational and Experience Requirements:
  • Three-year Diploma/Degree from a post-secondary institution in Finance, Accounting Business/Office Administration or Human Resources.
  • Minimum five years office administration and case handling experience in a busy/high paced student and or employee services preferred.
  • Experience working in a unionized environment and with various levels of employee groups is an asset.
Skills and Attributes:
  • Budget management skills.
  • Working knowledge of business and financial data software.
  • Solid financial and analytical skills.
  • Knowledge of MS Excel (specifically, advanced formulas, pivot tables and charts).
  • Organizational, analytical, and administrative abilities; along with excellent listening, mediation, negotiation and conflict resolution skills and the aptitude to maintain confidentiality are essential.
  • Ability to exercise discretion. Demonstrate good judgement regarding sensitive or confidential issues.
  • Excellent communication, collaboration, interpersonal, and teamwork skills.
