Overview

The Operations Coordinator is a member of Avison Young Edmonton\'s management team, working alongside the Managing Director (MD) to assess the needs of the office and ensure day to day operations activities run smoothly. In this role, you will lead the implementation of and enforce company systems and processes. The Operations Coordinator role requires an individual with strong written and verbal communication skills, the ability to use discretion and make decisions, capable of effective collaboration and delegation, as well as having strong leadership skills when managing projects.

Responsibilities

  • Share and promote the Goals and Objectives of the Managing Director in line with the overall corporate goals and objectives; demonstrate alignment with the MD at all times and promote the unique Avison Young culture
  • Manage the day-to-day operations of the business with a proactive and solutions-oriented approach, maintaining confidentiality of all personal and private information
  • Assist with improving processes in support of organizational goals; monitor adherence to policies, regulations and procedures
  • Oversee tasks and communication required to ensure the office is compliant with all Real Estate Council requirements
  • In collaboration with HR and Legal, prepare employment offers, term sheets and other necessary contracts/memos
  • Liaise with HR for recruiting, onboarding, offboarding and personnel changes for operations and sales professionals including completion of required documentation
  • In collaboration with Managing Director and with the assistance of HR, manage employee performance in alignment with corporate policies, standards and best practices
  • Oversight of the company\xe2\x80\x99s CRM as related to the Vancouver office
  • Oversee Facilities Management of the premises including Health and Safety and accurate and timely injury reporting to HR
  • Manage collection of data and input for the monthly pipeline process
  • Assist AY Corporate, the MD and Vancouver Controller with the preparation of annual budgets
  • Represent Avison Young in a professional manner to the tenants and public
  • Other duties and responsibilities as identified by the MD
Qualifications
  • High School GED
  • Experience in Real Estate an asset
  • Proficiency in Office 365, Outlook, Excel and Word
  • Works independently with little or no supervision
  • Excellent written and verbal communication skills exhibited through personal, phone, or email contact
  • Excellent interpersonal skills
  • Ability to multitask while maintaining high attention to detail
  • Ability to work with staff across multiple departments
  • Experience with office software and equipment
  • Competency in writing reports, knowledge in creating spreadsheets, management budgets, and office finances
  • Effective team player
  • Excellent customer service and relationship building skills
  • Able to work effectively in high stress situations
  • Must be able to adapt and manage multiple tasks with conflicting priorities
  • Above average problem solving, negotiation, and conflict resolution skills
