About the Role:



The Operations Coordinator for DATS plays a crucial role in ensuring the smooth operation of the department. Their responsibilities encompass a wide range of tasks, from administrative duties to financial processes and resource coordination. In the context of the role of an Operations Coordinator, the position reports to the Manager, DATS/CHOICE and works closely with the Manager, to carry out the various responsibilities outlined earlier and assist in the day-to-day management of DATS operations.

This role often communicates with the manager, provides updates, seeks guidance on tasks, and collaborates to meet departmental goals and objectives. The Manager may delegate specific tasks to the Operations Coordinator and rely on their support to ensure that the DATS department functions effectively and meets its performance targets. This structure helps maintain clear lines of communication and accountability within the department.

Key Responsibilities:



? Provide information and updates to both internal and external stakeholders, which can include team members, management, and external partners.

? Perform data entry tasks and maintain departmental databases with a strong focus on accuracy to ensure the availability of up-to-date and reliable information.

? Assist in the issuance of preventative maintenance work orders and request maintenance work orders for the DATS fleet.

? Track the completion of maintenance tasks and generate reports to monitor the status and performance of maintenance activities.

? Coordinate work schedules to prevent and mitigate potential operational conflicts, ensuring the efficient use of resources and staff.

? Administer the fleet vehicles program, which may include vehicle maintenance, fuel management, and tracking usage.

? Support business unit leaders in completing special initiatives and projects as required. This can involve a wide range of tasks and responsibilities.

? Coordinate resource requests for large events, ensuring that the necessary DATS resources and staff are available and properly allocated.

? Complete meeting minutes, agendas, and other documents to support the business unit's activities. This includes maintaining organized records of meetings and discussions.

? Source and order supplies, uniforms and equipment as needed to support the DATS department's operations. This may involve procurement and inventory management.

The Operations Coordinator also plays a pivotal role in ensuring that the DATS department functions efficiently, meets its financial goals, and provides excellent service to both internal and external stakeholders.

? Assist to Monitor routes and schedules to optimize DATS efficiency and respond to any changes or delays.

? Handle and process complaints, claims related to DATS incidents, such as service, accidents, damaged goods, or delays.

? Work with relevant parties to investigate and resolve claims in a fair and timely manner.

? Provide excellent customer service to internal and external stakeholders, addressing inquiries, concerns, and resolving issues promptly and professionally.

? Stay informed about and ensure compliance with DATS regulations and safety standards, such as hours-of-service regulations for drivers or vehicle safety requirements.

? Promote and support safety within the DATS department by implementing safety procedures, conducting safety training, and addressing safety concerns.

? Develop and maintain safety records and incident reports.

? Prepare regular reports for management and stakeholders.

? Act as a point of contact for addressing and resolving DATS-related issues and challenges, both proactively and reactively.

? Identify opportunities for process improvement within the DATS department and implement changes to enhance efficiency and reduce costs.

Essential Skills:



? 2 years of relevant experience

? Excellent communication skills

? Quality and Customer focused

? Direct experience assessing operational needs and developing a plan of action

? Intermediate/advanced computer skills (Microsoft Word, Outlook, and Excel)

? Familiar with Provincial/Federal Safety and Employment Legislation

Education and Qualifications:



Degree or diploma in business, accounting, management, or related discipline preferred.

2+ years previous experience administration role in a fast paced, high-volume environment including managing multiple databases.

Previous fleet and/or industry experience an asset.

Shift Information:



Although operations typically run from 6 am-midnight, the Operations Coordinator will need to be on-call to assist with business matters. This role will support the Manager, DATS/CHOICE, and you will be expected to vary your work hours to communicate with different shifts electronically, over the phone and in person as necessary.
