to help elevate our client journey, streamline systems, and support our growth initiatives.

About the Role
As the Operations & Client Experience Lead, you will be the backbone of Team Phillips' daily execution. You will manage the mortgage file lifecycle from application to funding, own CRM and workflow systems, and ensure clients feel supported at every step.

contractor role working directly with MacDaniel Phillips (Mortgage Agent Level 2) and the broader Team Phillips network of realtors, lenders, financial partners, and lawyers.
What You'll Do (Core Responsibilities)
Client & File Management
Manage end-to-end mortgage file flow from application ? approval ? conditions ? funding
Lead all client communications, follow-ups, and milestone touchpoints
Prepare, manage, and organize compliance documentation
Coordinate updates with realtors, lenders, appraisers, and lawyers

Systems & Operations
Own and update CRM + Velocity pipelines
Track tasks, deadlines, key dates, and maintain project boards
Support scheduling, calendar management, file updates, and client gifting
Assist with event coordination for client & realtor initiatives

Team Growth & Implementation
Lead AI training rollout, SOP documentation, and internal system implementations
Participate in brokerage training and execute new processes
Complete annual AML/fraud and compliance requirements
Compensation & Bonuses
Base Contractor Compensation:
$60,000 CAD annually (HST inclusive), paid bi-weekly via invoice (e-transfer)
Performance Bonuses:
$4,000 bonus for every
$20M
in funded volume processed
50 bps on any personal production generated from your own client database
25% bonus compensation on Mortgage Protection Plan policies sold
? CRM, Velocity, and all required communication tools provided or reimbursed
? Opportunity to grow into senior operational or underwriting roles
Contract Terms
Independent Contractor (responsible for own remittances)
90-day probation period
30 days' written notice for termination
Flexible schedule; manage your own hours
Advance notice required for longer absences
Compensation paid only for hours worked
Strict confidentiality required
Success Metrics
To excel in this role, you will:
Maintain accurate CRM updates weekly (file statuses, key dates, tasks)
Respond to client communications within
1 business day
Ensure flawless execution of all client milestone updates
Complete all AML/fraud and internal training on time
