What You'll Do
Operations & Administration Support
Support and report directly to the Director of Operations.
Provide ongoing administrative and operational support across internal departments.
Assist the
Meeting Logistics Coordinator
with scheduling, calendar coordination, and backup coverage (when required)
Handle and route
owner support tickets
appropriately and ensure timely internal follow-up.
Maintain and update SOPs and internal process documentation.
Support ongoing
performance tracking and special projects
to improve workflows and client delivery.
Assist with
accounting-related tasks
, such as reconciling internal reports, invoice organization, or coordinating with bookkeeping support.
Minute Taking & Board Meeting Scheduling
Coordinate and schedule
minute takers and board meetings
, ensuring proper coverage.
Communicate with internal and external parties regarding meeting needs and logistics.
Monitor completion of minutes, flag delays, and follow up where needed.
Maintain clean, organized records of all board meetings and document submissions.
Internal Operations Coordination
Support data entry, tracking, and clean recordkeeping using Monday.com and Google Workspace.
Collaborate cross-functionally with Operations, Account Management, and Meeting teams.
Identify operational gaps or inefficiencies and recommend practical improvements.
Contribute to a high-quality execution environment by staying organized, responsive, and adaptable.
Who You Are
You're highly organized, efficient, and detail-oriented.
You're tech-comfortable and thrive in fast-paced, remote environments.
You're a proactive communicator who enjoys working behind the scenes to support a bigger picture.
You're comfortable juggling multiple priorities and handling unexpected issues with composure.
