About the position and about you The Operations Administrator provides office support to the Fort Saskatchewan CSC site and provides administrative back up to the Production Coordinator. This is accomplished; by assisting in the development, organization, and control of documents and correspondence; by facilitating and communicating the results of various meetings; and by inputting accounting related information for AP. Strong, clear, and timely communications, both internal and external to the site, are essential to this position. What You Need To Be Successful Qulaification:
3-5 years progressive experience in an administrative support role
High level of knowledge with SAP, IMS, DMS, Infor EAM or with similar databases or data management systems and programs
Knowledge
Excellent customer service skills with \xe2\x80\x9ccan-do\xe2\x80\x9d attitude
Experience with logistics (administrative coordination, courier services, coordination of drivers and deliveries)
Post secondary education in business or administration studies is preferred
Excellent communication and interpersonal skills with a professional phone etiquette
Superb organization and time-management skills
Ability to manage multiple priorities
Responsibilities
Complete daily administrative duties.
Take notes and distribute morning meeting summary through email to operations.
Manage and complete daily product shipment schedule.
Facilitate onboarding with new personnel at CSC site.
Complete shipping documentation & arrange pick up for TDG samples shipped to the US. Ensure samples have customs documents along with current SDS.
Manage office and kitchen supplies.
Pick up mail and distribute as needed.
Receive invoices, match against supporting documents (purchase orders, receiving records, etc.), investigate and resolve any discrepancies, obtain appropriate approvals when needed and process for payment.
Process invoices for payment.
Complete purchase orders (PO\xe2\x80\x99s) for AP in SAP system.
Set up new vendors
Follow up with vendors on payment/overdue payments.
Communicate with and respond to vendors concerning payables issues (i.e. payment status; disputes; etc.).
File processed invoices for further retention activities (scanning/archiving)
Reconcile assigned vendor statements
Monitor GRNI (goods received not invoiced) for assigned vendors, work with internal business partners to keep GRNI current.
Goods issue all shipments, book production and enter material receipts in SAP.
Allocate credit card expenses.
Greet visitors, manage visitor log, and administer visitor plant safety entry orientation (Abbottsfield).
Set up new Drivers to take Abbottsfield orientation on site if needed. Update Integra gate system so they can gain access to our site. And maintain driver and contractor orientation program.
Abbottsfield duties for new contractors (assisting EHS team)
Inviting New Contractors
Following up to ensure all items are included in the pre-qualification
Call, email or phone when needed to expedite the PQF along with site representatives help
Act as the site Document Controller for all documents and records within the Fort Saskatchewan facilities.
Package bill of ladings and shipping documents.
Provide coverage for Production Coordinator:
Order rail switches based on customer orders and raw material needs.
CN Invoicing as needed
Provide container shipping documents
Manages raw material requirements by ensuring adequate supply of sulfur dioxide, hydrate, caustic and aqua ammonia; including inventory management in SAP.
Manage finished products inventory management.
Prepares month end SAP and other related inventory reconciliation reports in a timely manner.
Work with other team members to ensure timely and accurate completion of month-end reporting requirements.
Coordinate with production manager, operations staff to ensure inventories are planned and managed.
Coordinate with maintenance coordinator and project engineers on upcoming work affecting our plant site production or loading/offloading
Advise the Customer Service Supervisor of significant issues and incidents affecting customer deliveries, safety, production delays, carrier performance, and any other significant circumstances.
Communicate carrier performance feedback to the Transportation Team.
Ensure accuracy of paperwork for all shipments following standards for hazardous goods and TDG regulations.
Scheduling Private Fleet Driver for efficient loading and movement of product for Fort Saskatchewan and Edmonton Plants.
Monitor and schedule loads for customers that we manage levels for.
Weekend on call/rail switches as required.
Other duties as assigned including support for other Chemtrade sites as needed.
Environmental Health and Responsibilities Become familiar with Chemtrade Environmental, Safety & Health (ES&H) policies and procedures.
Complete all required ES&H training in a timely fashion.
Follow all Chemtrade facility and corporate ES&H procedures and practices.
Attend and actively participate in facility ES&H meetings and forums that will drive employee involvement.
Provide feedback and suggestions for ES&H program improvement.
