We are seeking a detail-oriented and organized Operations Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our association by managing various administrative tasks, supporting Executives, and providing excellent customer service. This position requires strong clerical skills, proficiency in office software, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
Manage front desk operations, including greeting visitors and answering phone calls with professionalism.
Perform clerical duties such as filing, data entry, and maintaining organized records.
Proofread documents for accuracy and clarity before distribution.
Organize social events, meeting spaces , etc.
Coordinate with other administrative support to complete tasks
Ensure awareness of and support executives in adherence to board policies and procedures
Other administrative duties as required
Manage the organization's website and social media platforms
Prepare and submit grant applications for funding.
Oversee communication and marketing efforts
Keep bylaws up to date in accordance with Alberta Registry legislation
Promote sponsorship agreements and maintain partner relationships
Create and distribute digital newsletters
Schedule executive meetings and take minutes
Requirements
Proven experience in an administrative or clerical role is preferred.
Strong customer service skills with the ability to communicate effectively both verbally and in writing.
Proficiency in using phone systems and office equipment.
Excellent organizational skills with attention to detail.
Ability to type efficiently and accurately.
Proficient in MS Office including Word, Excel, and PowerPoint
Proficient in Adobe and Zoom
Proficient in GSuite
Excellent organizational and time management skills
Experience
5 years of experience in an administrative role
Hockey Operations knowledge an asset
