Onboarding Coordinator's Impact: This role is integral to success of our MRO division's maintenance and turnaround projects. The successful candidate will have a high sense of detail, customer focus, and industry knowledge to ensure our candidates make it to site in a timely manner with all access requirements met. Position Details: This is a permanent hybrid position offering flexibility between working from home and our Edmonton West office location. Your standard schedule is Monday to Friday, 40 hours per week with flexible start and end times. During times of Turnarounds some evening and weekend work will be required as well as travel to desiganted sites. Health benefits and RRSP options begin immediately. Responsibilities

  • Engage with the Talent Acquisition team to support the onboarding process for union, non-union, contractor and hourly hiring.
  • Assist new hires to ensure a positive onboarding experience.
  • Assist applicants in using the onboarding systems for training, new hire paperwork and online orientations.
  • Contact new hires to gather required onboarding information.
  • Conduct verification of required certification(s).
  • Communicate new hire details to Payroll, HSE, Project Manager and/or Site Supervisor.
  • Collect paperwork and signatures from new hires (void check, benefits, RRSP, drivers abstract, policies) and update system where required.
  • Verify and validate safety tickets in Optic.
  • Inform new hires of required onboarding tasks needed before reporting to site/work and direct them accordingly.
  • Support new hire with flight/transportation, hotel/lodging information/corporate travel policy, addresses, maps/directions for initial project assignments and transfers.
  • Book required site orientations.
  • Request Drivers abstract(s) from registry and seek necessary approvals based on results.
  • Provide an exceptional employee experience by fielding employee and manager questions in a timely manner and within defined guidelines.
  • Identify and resolve issues with HRIS data and integration projects to better support continuous improvement and a positive employee experience.
  • Contact new hire to communicate D&A results and provide next steps as per process.
  • Forward or upload safety tickets, D&A results to Optic and/or to Safety for validation and tracking.
  • Manage and monitor safety tickets for all hires and book safety training for current employees at the request of site managers.
Qualifications
  • 1-3 years’ experience in an administrative capacity preferably in a construction, industrial maintenance or similar organization
  • Experience working in a high pace, high volume onboarding environment for skilled trades and labour positions an asset
  • Previous experience working in a Learning Management Systems, ERP and/or HSE software platforms an asset
  • Ability to operate within an environment where change happens frequently
  • Ability to forge, grow and maintain positive relationships with multiple groups
  • Strong written and oral communication skills, thoughtful, proactive, creative and pragmatic
  • Able to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
  • Ability to work within tight deadlines and prioritization of work to achieve them
  • Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail
  • Strong customer service orientation
  • Ability to travel to site on ad hoc basis
