We are looking for an engaging, motivated, self starter who loves to work in a fast paced environment and wants to demonstrate their great customer service skills. This role reports directly to the Chief People Officer and is responsible for all HR Administration and will be the Assistant Security Officer for the Division. Strong organizational, time management and computer skills are a must for this position.

HR Administration Duties

  • Assisting recruiting and onboarding coordinator with data entry into excel, Constant Contacts, Wiems, HRMS and Tracktik as required
  • Notifying union of new enrolments
  • Maintaining employee filing, both electronic and paper
  • Tracking and reporting LOA\xe2\x80\x99s monthly and work with Operations team to ensure accuracy
  • Ensure all employee data is up to date and work with operations to minimize redundancies and duplication
  • Producing monthly reports, updating HR dashboard, and creating ad hoc reports using HRMS Sage and TrackTik as requested.
  • Ensure Commissionaire\xe2\x80\x99s credentials (BC Security Licenses) are up-to-date and send email reminders prior to expiry of existing license
  • Drafting employment letters upon request
  • Drafting other HR documents/correspondence as requested
  • Tracking information, such as work permits, intentions letters etc. as required
  • Other duties as assigned by the Chief People Officer or HR Advisor
Assistant Security Officer Duties:
  • Facilitate the Public Works security clearance process to ensure all eligible team members obtain the correct security clearance
  • Update the security clearance dashboard as new information obtained
  • Update the VCR (Visitor Clearance Request) once employees receive the appropriate clearance
  • Following up with team members who are requested to provide more information, documents or be available for an interview
  • Enter clearance information into Tracktik and HRMS once clearances are confirmed
  • Follow up with PSPC when issues with clearances arise.
  • Cancel clearances as required
Accountabilities and Responsibilities
  • Develop strong relationships and collaborate with other departments as required
  • Human Resources Management System (HRMS) process owner
  • Remain current on best practices and emerging technology that will \xe2\x80\x9cadd value\xe2\x80\x9d to the Management Team and HR processes
  • Make and recommend process improvements
  • Accountable to the Chief People Officer for reporting
  • Responsible to Operations and Commissionaires for timely and accurate work
Knowledge Skills and Qualifications
  • Certificate or Diploma in Human Resources and or Administration preferred, or a combination of education and experience
  • Excellent customer service skills
  • Able to establish and maintain effective working relationships with all levels of the organization
  • Enthusiastic and self-motivated and eager to learn
  • Proven administrative skills with a strong attention to detail as proven with a minimum of 2 years of experience
  • A team player and self-starter with a positive attitude who requires minimal supervision.
  • Ability to make suggestions to improve processes
  • Solid understanding the Corps of Commissionaires, its organization and mandate
  • Excellent interpersonal, written and oral communication skills
  • An ability to use tact, discretion and diplomacy in dealing with colleagues, clients, Commissionaires
  • Proficient with Microsoft Office productivity suite (i.e., Outlook, Word, Excel and PowerPoint)
