The Opportunity
We're looking for a full-time Office Support Assistant to support our growing team. This is a fast-paced, highly collaborative role where you'll support everything from finance (payroll and accounts receivable, recruiting to onboarding and company safety processes. You'll report to our People & Culture Manager and work closely with leadership across the business.
This is your chance to take ownership of all things office related, with support from a team that values initiative and personal growth.
This role is best suited for someone who is proactive, eager to learn, and comfortable providing support in several different departments.

Key Responsibilities
Administration -
Assist with daily, weekly and monthly tasks as assigned by Management.
+ Office Housekeeping and Document Control - cleanliness and organization of the office documents in Google Drive and elsewhere such as paper filing systems or other softwares.
+ Collect, sort and distribute office mail as directed
+ Assistance within LMN and Hubspot as assigned
+ Attend and support social committee meetings, tasks and errands as required
+ Complete HR support tasks as assigned
+ Complete other administrative duties as assigned
Recruiting, Hiring and Onboarding
- Management and ownership of hiring new employees, preparing and executing onboarding and providing support in recruiting and hiring tactics.
+ Screening resumes, completing phone interviews and scheduling in person interviews
+ Preparing onboarding packages such as: enrolling in training, adding employee to softwares, and preparing/rolling out first day packages
+ Assistance with encouraging smooth introductions to the company by providing direct support for new hires
+ Plan and execute hiring events as required
+ Casual staff management - hiring, scheduling and assisting Managers as needed
Finance Support
+ Company inventory (Shipping/receiving - and managing the overall inventory process)
+ Manage company WEX credit cards (onboard/offboard, assist with troubleshooting)
+ Prepare payroll (Step 1, 2, 4) and update spreadsheets and softwares as required: myHSA, LMN wages, Payworks, etc.
+ Accounts Receivables: Enter customer payments into Quickbooks online, Track outstanding Accounts Receivable amounts (KPI report, collect outstanding invoices following our Accounts Receivable Standard Operating Procedures. )
+ Cheques pick up (mail box) / Bank Deposit
+ Financial performance and analytics as required
Safety
+ Safety Checks
+ Internal Audits
+ Upkeep of policies and training
+ Preparing staff for audits
+ Monitoring incoming paperwork
+ Implementing safety controls
+ Investigations and reports
What You Bring
1-3 years of administrative experience
Experience in trades, field service, or construction environment is a plus
Applicants with COR Safety experience/education will be given preference
Applicants with previous payroll/accounting experience will be given preference
Comfortable working in a field environment (not just behind a desk)
Strong organizational, attention to detail and time management skills
Excellent communication in English
Proficient in Google Workspace (Docs, Sheets, Drive)
Confident with spreadsheets (formulas, data tracking)
A reliable vehicle for errands and banking
Positive attitude and team-oriented mindset
