Office Administrator/Receptionist

to support daily operations and help our clinic run smoothly.

We are seeking someone who is confident managing a busy front desk, thrives in a collaborative environment, and brings strong administrative and communication skills. Experience in a chiropractic, massage, counselling, or medical office is a

strong asset

. Bookkeeping experience and familiarity with

Jane App

are

highly preferred

.

Key Responsibilities



Warmly greet patients and ensure a positive clinic experience Manage appointment scheduling, confirmations, and cancellations through

Jane App

Process payments, direct billing, product sales, and daily reconciliations Handle incoming calls, emails, messages, and general inquiries Maintain accurate patient files and clinic documentation Assist with bookkeeping tasks such as invoicing, payment tracking, monthly summaries, and basic financial organization Support practitioners with day-to-day administrative needs Keep reception and common areas clean, organized, and welcoming Prepare treatment rooms and manage laundry as needed Assist with social media tasks or marketing support (optional but appreciated) Uphold confidentiality, professionalism, and patient-centered care at all times

Qualifications



Previous administrative experience in a healthcare or chiropractic setting

preferred

Strong working knowledge of

Jane App

or other EMR systems (highly beneficial) Basic

bookkeeping

or accounting experience Excellent communication skills--professional, positive, and patient Strong organizational abilities with attention to detail Ability to multitask in a fast-paced clinic environment Comfort with technology (Mac or PC), point-of-sale systems, and email management Reliability, punctuality, and a supportive team mindset Ability to maintain a calm and welcoming atmosphere for patients
