Kalco Nurseries Ltd. is seeking a motivated and detail-oriented Office Manager/Bookkeeper to manage office operations, financial functions, and customer interactions. This pivotal role ensures the smooth running of day-to-day activities, organizes customer orders, and supports the team in achieving organizational goals. The ideal candidate will have strong administrative and bookkeeping expertise, proficiency with accounting software, and excellent customer service skills.
Key Responsibilities:
Manage daily office operations, including scheduling, correspondence, and administrative tasks.
Act as a key point of contact for customers, providing exceptional service and addressing inquiries.
Organize and coordinate customer orders, ensuring accurate documentation and timely fulfillment.
Oversee accounts payable and receivable processes to ensure timely and accurate payments and collections.
Utilize accounting software (e.g., QuickBooks, Sage, Xero) to maintain financial records and prepare reports.
Prepare budgets, conduct bank reconciliations, and assist with payroll processing.
Maintain organized and accessible documentation for financial, operational, and customer records.
Provide clerical support to team members, facilitating efficient office workflows.
Collaborate with other departments to streamline procedures and improve overall efficiency.
Qualifications & Experience:
Proven experience as an Office Manager, Bookkeeper, or in a similar administrative role.
Proficiency with accounting software (QuickBooks, Sage, or Xero); experience with payroll systems is an asset.
Experience in a customer-facing role with strong interpersonal and communication skills.
Solid understanding of budgeting, bank reconciliations, and financial reporting.
Exceptional organizational skills with the ability to manage multiple priorities effectively.
High attention to detail and accuracy in financial, administrative, and customer-related tasks.
