We're seeking a part-time Office Manager (25-30 hours/week) to lead our administrative team and oversee clinic operations. In this role, you will support both our therapists' administrative responsibilities and our administrative staff, creating smooth systems, ensuring tasks are completed efficiently, and fostering a positive, respectful, and collaborative workplace. This is a managerial role reporting directly to the Clinical Director.
What You'll Do
Lead & Supervise:
Manage the administrative team and oversee administrative responsibilities across the clinic, ensuring tasks are completed accurately, efficiently, and aligned with clinic priorities.
Therapist Onboarding:
Coordinate therapist onboarding and support their administrative integration into the clinic.
Culture & Engagement:
Support team engagement and foster a positive, collaborative workplace across locations.
Clinic Operations:
Manage scheduling, oversee workflows, and ensure clinic spaces are welcoming and organized.
Client Care Oversight:
Ensure client inquiries and intakes are handled professionally and compassionately, stepping in as needed.
Liaison Role:
Act as a communication bridge between the Clinical Director and admin team, maintaining clarity and alignment.
Light Bookkeeping:
Support invoicing, payment tracking, and administrative follow-up tasks.
What We're Looking For
Proven leadership or management experience (healthcare or mental health clinic setting strongly preferred).
Education or experience in psychology, social work, or related fields is an asset.
Excellent organizational and problem-solving skills, with the ability to manage both daily details and the bigger picture.
Empathetic communicator, able to respond compassionately to clients and staff.
Tech-savvy, with comfort using scheduling and practice management software (experience with Jane and Zoho is an asset).
Commitment to sex-positive, LGBTQ2S+ affirming, and trauma-informed care.
