About Us
Behaviour Matters is a leader in child, youth and family mental health, specializing in social skills, emotional regulation, behaviour management, and overall mental health and wellness. We provide 1:1 therapy, group programs, and community-based workshops for children, teens, families, and educators.
We are seeking a Care Coordinator to be the welcoming, knowledgeable, and organized first point of contact for our clients. In this role, you will help families navigate our services, book sessions, and feel supported throughout their journey with us.
About the Role
As Care Coordinator, you will support clients and their families from their first inquiry and throughout their services. You will provide clear, compassionate information about our therapy and group offerings, manage the intake and interview process, coordinate schedules, and ensure smooth communication between clients, therapists, and program staff.
This role is ideal for someone who is warm, organized, tech-savvy, and able to balance a fast-paced environment with empathy and professionalism.
Key Responsibilities
Client Support & Communication
Serve as the first point of contact for phone, email, and in-person inquiries.
Provide families with clear, compassionate explanations of available services.
Guide clients through the intake and program registration process.
Match clients with the most appropriate therapist or program coordinator.
Provide ongoing support to current clients, answering questions and resolving concerns as needed.
Service Coordination
Schedule appointments and group program intake interviews.
Maintain accurate, confidential client records in the clinic database.
Coordinate with therapists and program staff to ensure seamless service delivery.
Administration
Respond to inquiries promptly and follow up to ensure client needs are met.
Track client retention and ensure all necessary documentation is complete.
Support billing, payments, and insurance documentation as required.
Collaboration
Maintain an organized, welcoming, and well-kept office environment for clients and staff.
Work closely with the Program Director, therapists, and management team.
Assist with special projects, events, or community workshops as needed.
Qualifications & Skills
Education:
Diploma or Bachelor's degree in a related field (social work, psychology, education, child and youth work, or office administration).
Experience:
Client service or coordination experience in a mental health, healthcare, education or social services setting (experience with children, youth, and families is an asset).
Skills & Competencies:
Exceptional interpersonal and communication skills.
Empathy, patience, and professionalism when supporting families.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office, databases, email, and scheduling systems.
Ability to manage multiple priorities in a fast-paced environment.
Understanding of mental health terminology and confidentiality practices.
Other Requirements:
Valid Police Record Check (Vulnerable Sector).
Availability to work weekdays, with occasional weekend shifts if needed.
