Your Opportunity

Our Fredericton office is looking for an Office Coordinator to provide support with the day-to-day administrative requirements for the office. The successful candidate will perform a wide range of administrative and office support activities to facilitate the efficient operation of the organization. The candidate will also act as the Fredericton Office Safety and Environment Coordinator (OSEC). Accountabilities associated with this position include acting as a local resource for Stantec\'s HSSE Program, coordinating HSSE training, conducting office support activities, attending regularly scheduled meetings, supporting the Office Leader, Regional Leader and Regional HSSE team with promotional initiatives.

Your Key Responsibilities

Office Coordinator:

Cross training with our Shared Services team, you will be assisting with:

Participating in the planning and execution of company events, including community engagement activities.

Ordering office supplies.

Managing relationships with vendors and service providers.

Organizing and maintaining electronic documents/directories in accordance with company standards helping as needed with project management compliance and internal project audits.

Records management coordination.

Processing and preparing mail and packages for shipment as needed.

Reception coverage as needed - cordially answering and directing incoming calls and greeting visitors.

Maintain office equipment to ensure proper functionality.

Supporting other special projects and activities as assigned:

  • typing, reviewing, and formatting letters, correspondence, and reports.
  • use of company templates and ability to customize them for a particular use.
  • assembling hard copy and electronic (Adobe Acrobat) reports from text, figures, drawings, and attachments provided by others.
Other administrative tasks, as assigned.

OSEC:
  • Ensure the completion of:
  • Maintaining, inspecting, and restocking the office personal protective equipment inventory.
  • Posting HSSE Program and regulatory documents such as policies, rules, practices, procedures, meeting minutes, internal and external inspections, and associated forms.
  • Assisting with monthly office inspections.
  • Completing monthly/annual administrative duties.
  • Additional responsibilities as required.
Qualifications

Your Capabilities and Credentials

Strong work ethic and time management skills, with the ability to prioritize workload.

Keen attention to detail.

Strong interpersonal, verbal, and written communication skills.

Ability to work independently and within a team.

Skillful and proficient with MS Office Suites (Word, Excel, PowerPoint), Office 365 and Adobe.

Experience with document review preferred, but not required.

Ability to lift boxes and packages up to 50 pounds.

Experience with health and safety is considered an asset.

Education and Experience

Completion of a certificate or diploma in office administration; or equivalent experience (min. 2 years).
