We are seeking a detail-oriented and organized Office Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and proficiency in various office software. As an Office Assistant, you will be responsible for supporting daily office functions, managing communications, and assisting with clerical tasks.
Responsibilities
Assist Owner/operator with clerical tasks, organization and A/R.
Perform data entry tasks accurately and efficiently, maintaining organized records and files.
Utilize QuickBooks Online for monthly bookkeeping, reconciliations and financial record management. Full-cycle accounting knowledge required. Prepare and submit quarterly GST filing.
Calculate and prepare bi-weekly pay information, input into payroll management software.
Assist with calendar management, scheduling appointments, and coordinating teams.
Provide administrative support including typing documents, proofreading materials, and filing important paperwork.
Maintain office organization through effective filing systems and inventory management.
Support team members with clerical duties as needed to enhance overall productivity.
Requirements
Proven experience in an office setting with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace applications. Willingness to learn new systems, our company uses Jobber to schedule, invoice and communicate with our clients.
Familiarity with QuickBooks Online is required; bookkeeping experience is advantageous.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Excellent phone etiquette and customer service skills to handle inquiries professionally.
Ability to work independently with little supervision.
