Position Overview
The
Office Administrator
plays a key role in ensuring smooth daily operations, supporting our clinical team, and maintaining exceptional client experiences.
This role is ideal for someone who enjoys working in a professional, fast-paced healthcare environment and values teamwork, communication, and growth.
Key Responsibilities
Greet clients warmly and ensure a welcoming, professional atmosphere.
Manage phone calls, emails, and appointment bookings using clinic software.
Process payments (in-person and virtual) and handle billing inquiries.
Support
third-party billing
including
ICBC, WorkSafeBC, and Pacific Blue Cross
claims.
Oversee day-to-day administrative operations to ensure efficiency.
Assist with
Google Business updates, website content, and social media posts
.
Participate in
marketing and community outreach events
when needed.
Maintain clean, organized administrative and treatment areas.
Manage digital filing systems and vendor communications.
Support basic
bookkeeping and payroll tasks
using
QuickBooks
(training provided).
Collaborate with practitioners and team members to enhance clinic systems.
Contribute to team training, communication, and morale.
Qualifications
Administrative or front-desk experience preferred (healthcare setting an asset).
Strong communication and customer service skills.
Excellent organizational and multitasking abilities.
Familiarity with
JaneApp
or
Akitu One
software is an asset.
Basic understanding of
QuickBooks
or willingness to learn.
Reliable, proactive, and professional attitude.
Ability to work both independently and as part of a collaborative team.
Successful completion of a
current RCMP Criminal Record and Vulnerable Sector Screening
(or willingness to obtain prior to start date
