We are an agriculture ranching, consulting and livestock marketing firm seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a vital role in managing daily administrative and financial operations, ensuring smooth office functions, and supporting our accounting processes. This position offers an engaging environment for individuals with strong organizational skills and a background in accounting or bookkeeping, preferably with some experience in agriculture. The Office Administrator will be instrumental in maintaining accurate financial records, managing accounts, and supporting budgeting activities to help the company achieve its operational goals.
Duties
Manage and maintain accounting records using QuickBooks online
Software experience with Excel, Word
Answering phone
Filing
Oversee accounts payable and accounts receivable processes, ensuring timely payments and collections
Perform bank reconciliations and account analysis to ensure financial accuracy
Assist with payroll processing and related documentation
Conduct account reconciliation to verify transaction accuracy across various accounts
Prepare financial reports and summaries for management review
Support budgeting activities by tracking expenses and forecasting future financial needs
Maintain organized bookkeeping records and ensure compliance with company policies
Handle administrative tasks including scheduling, correspondence, and document management
Collaborate with external vendors or auditors during financial audits or reviews

Qualifications
Proven experience with accounting software such as QuickBooks online
Experience with Excel, Word
GST knowledge
Some agriculture or cattle industry knowledge preferred, not required
Strong knowledge of accounting principles, bookkeeping, payroll processing, and account reconciliation
Familiarity with bank reconciliation, account analysis, and budgeting processes
Excellent organizational skills with the ability to prioritize tasks effectively
Attention to detail and accuracy in data entry and financial recordkeeping
Strong communication skills for coordinating with team members and external partners
Ability to work independently while managing multiple responsibilities in a fast-paced environment
Prior experience in office administration or similar roles is a plus
