Role Overview
We are seeking a proactive, organized, and self-driven
Office Administrator
to support our growing operations. This role is ideal for someone who thrives in a dynamic environment, enjoys improving processes, and can balance multiple tasks with confidence and accuracy. You will support both office administration and financial workflows (A/P, A/R, payroll), while helping keep our scheduling, CRM, and internal communications running smoothly.
This is a key role in our company -- we're looking for someone who can take ownership and "just get things done."
Key Responsibilities
Financial & Administrative Support
Process
Accounts Payable (A/P)
and
Accounts Receivable (A/R)
Assist with
bi-weekly payroll
preparation and employee time tracking
Maintain accurate financial records and documentation
Prepare and send customer invoices and follow up on outstanding payments
Assist with expense tracking, work orders, and job-costing entries
Office Coordination & Scheduling
Maintain employee work schedules and dispatch/service schedules
Track service calls, technician hours, and profitability insights
Serve as the first point of contact for calls, emails, and walk-in clients
Provide general reception, filing, correspondence, and supply ordering
CRM & Operations Support
Enter and maintain customer data in our
CRM system
Help refine workflows and standard operating procedures
Support inventory tracking, parts receiving, and product records
Compile and organize sales, service, and operational reporting
General Office Support
Maintain office organization and ensure efficient day-to-day operations
Support management with reporting and administrative projects as needed
Qualifications
Minimum
3-5 years experience
in an office administrative or bookkeeping role
Experience with
A/P, A/R, and payroll processes
(QuickBooks or similar preferred)
Comfortable working with CRM or scheduling software (training provided)
Strong multi-tasking, organization, and time-management skills
Self-motivated with a positive attitude and ability to work independently
Strong communication and professionalism in customer interactions
