About the Role



We're looking for a highly organized, proactive, and detail-oriented

Office Administrator/ Executive Assistant


to support our Executive Team and ensure smooth day-to-day operations of our office. Reporting directly to the VP, People and Culture, you will play a critical role in maintaining executive efficiency, enhancing employee experience, and managing a professional and welcoming workplace environment.

Key Responsibilities



Executive Support



Provide high-level administrative support to the Executive Team, including calendar and meeting management, travel coordination, and expense reporting. Prepare presentations, agendas, meeting minutes, and follow-up documentation for executive and board-level meetings. Track key deliverables and action items across leadership functions to ensure timely follow-through. Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and discretion at all times.

Talent & Culture Support



Assist with planning and executing employee engagement, culture, and talent development initiatives. Coordinate onboarding activities for new hires and support internal communications and employee events. Support HR documentation, scheduling, and project tracking. Help foster a positive and inclusive workplace culture through employee experience initiatives. Build and maintain the company intranet, ensuring content is current, user-friendly, and aligned with internal communication goals. Support company-wide communications, including drafting and distributing announcements, newsletters, and updates.

Office Management



Manage daily office operations, including vendor relationships, facilities coordination, and space planning. Ensure the office environment is clean, organized, and aligned with company values. Coordinate logistics for meetings, training sessions, and company events, both onsite and offsite. Serve as the primary contact for building management and service providers. Handle incoming/outgoing mail and manage office supply inventory and ordering.

What You Bring



Proven experience in executive support, office administration, or a similar role. Exceptional organizational and multitasking skills with a strong attention to detail. High level of professionalism, discretion, and interpersonal communication. Ability to thrive in a fast-paced, dynamic environment. A passion for workplace culture and employee experience. Proficiency in Microsoft Office Suite, Google Workspace, and calendar/meeting tools.

Responsabilites principales



Soutien a la direction



Fournir un soutien administratif de haut niveau a l'equipe de direction : gestion d'agendas, coordination de reunions, organisation de deplacements, et traitement des notes de frais. Preparer les presentations, ordres du jour, proces-verbaux et documents de suivi pour les reunions de direction et du conseil d'administration. Assurer le suivi des elements d'action et des livrables cles entre les differentes fonctions de direction. Agir en tant qu'intermediaire entre les cadres et les parties prenantes internes et externes, avec discretion et professionnalisme.

Soutien a l'equipe Talents et Culture



Contribuer a la planification et a la mise en oeuvre des initiatives d'engagement, de culture d'entreprise et de developpement des talents. Coordonner les activites d'integration des nouveaux employes et soutenir la communication interne et les evenements d'equipe. Apporter un soutien administratif pour la documentation RH, la planification et le suivi de projets. Favoriser une culture de travail positive, inclusive et motivante. Gerer et mettre a jour l'intranet de l'entreprise pour assurer une communication claire, coherente et accessible. Rediger et diffuser les communications internes, telles que les annonces, bulletins d'information et mises a jour generales.

Gestion du bureau



Assurer la gestion quotidienne du bureau : relations avec les fournisseurs, coordination des installations, amenagement des espaces. Maintenir un environnement de travail propre, accueillant et aligne avec les valeurs de l'entreprise. Organiser la logistique des reunions, formations et evenements internes ou externes. Etre le point de contact principal pour la gestion de l'immeuble et les prestataires de services. Gerer le courrier entrant et sortant, ainsi que les commandes de fournitures de bureau.

Profil recherche



Experience confirmee en soutien executif, en administration de bureau ou dans un poste similaire. Excellentes competences organisationnelles et capacite a gerer plusieurs taches simultanement. Sens aigu du professionnalisme, de la discretion et excellentes aptitudes en communication. Capacite a evoluer dans un environnement dynamique et en constante evolution. Interet marque pour la culture d'entreprise et l'experience employe.
