:



As a Full-Time Administrative Assistant at First Defence Security your primary responsibilities will be general office administration including but not limited to answering phone calls, tracking inventory, on-boarding new staff, maintaining employee's files, approving timesheets, investigating employee pay concerns, and collaborating closely with payroll. It is also expected that the person in this role contributes to the cleanliness and upkeep of shared office space. This role requires someone with a strong command of the English language , both written and verbal, and someone who is proactive, professional, and highly organized.

Key Responsibilities:



- Maintain and organize the office filing system

- Ability to drop one project to work on another project at any given time. Multiple clients to deal with along with working closely with the GM, OA and the Owners of the company

- Assist the General Manager and Operations Manager with administrative tasks as required

- Handle other office-related duties to support smooth operations

- Must be proficient in the use of MacBook (Apple) products

Qualifications:



- MUST have proven experience with QuickBooks (we cannot provide training)

- Strong proficiency in English, both written and spoken

- Excellent organizational skills with attention to detail

- Ability to manage time effectively and work independently

- Professional demeanor and ability to maintain confidentiality

- Previous administrative experience is an asset

- Strong computer skills, including proficiency in Microsoft Office (Word, Excel)

- Must be able to bondable, pass a criminal background check and sign an NDA
