The Mortgage Assistant plays a vital role in supporting our mortgage brokers by managing administrative tasks, coordinating with clients and lenders, and ensuring smooth transaction processes. The ideal candidate is highly organized, detail-oriented, and knowledgeable about BC mortgage regulations, real estate documents, and lending practices.
Key ResponsibilitiesClient & Broker Support
Act as the primary point of contact for clients, providing updates and answering queries.
Assist mortgage brokers with client intake, documentation collection, and file preparation.
Schedule appointments, meetings, and property appraisals.
Maintain client databases and ensure accurate record-keeping.
Documentation & Processing
Prepare, review, and submit mortgage applications and supporting documents to lenders.
Ensure compliance with BC mortgage regulations, lender guidelines, and internal policies.
Order and review property titles, appraisals, and insurance documents.
Track application progress and follow up with lenders, lawyers, and real estate agents.
Administrative Duties
Manage broker calendars, emails, and phone calls.
Prepare reports, presentations, and marketing materials as needed.
Handle file closing procedures and ensure all documents are securely archived.
Assist with other office tasks as required.
Qualifications & SkillsMust-Haves
1-2 years of experience in a mortgage, real estate, or financial services role in BC.
Familiarity with BC real estate transactions, mortgage documents, and lending processes.
Strong organizational skills and ability to manage multiple priorities.
Excellent communication and client service skills.
Proficiency in Microsoft Office and mortgage software (e.g., Excel, Salesforce, Brokerwise).
High level of discretion and professionalism when handling confidential information.
