We are a fast growing Orthopaedic Surgery practice specializing in general orthopaedics with a focus on Regenerative Orthopaedic Medicine. We are excited to be expanding into Burlington and looking for a team player to add to our existing strong group of administrators here in Hamilton.
Must be flexible to work at both Hamilton and Burlington locations - and MUST have reliable transportation
We are seeking an experienced office administrator who is proficient in English, has experience with Electronic Medical Records (EMR - Accuro) and excellent computer skills.
In addition, customer service experience is mandatory and a background in medical office administration is preferred.
The job is offered as a full time position, Monday to Friday 8:30 a.m. - 5:00 p.m. Split between our two locations in Hamilton and Burlington
As an administrator, the Employee is required to perform the following
duties, and undertake the responsibilities in a professional manner, including
but not limited to:
a) Answering telephones, voice messages, text messages, emails, and mail in a professional, daily and timely manner. All phone calls, voicemails, text messages, emails and faxes must be responded to within 48-hours or less.
b) Booking patients as per scheduling best practices to ensure smooth flow of the practice.
c) Ensuring that the EMR scheduler and Google calendar are synchronized and updated daily.
d) Organizing and updating electronic medical charts, scanning, faxes, wait lists, patient documents, etc.
e) Preparing charts for clinic days in advance and ensuring patients are scheduled, booked, confirmed, and informed of appointment time, date, location and necessary items required for appointment (e.g., post-surgical supplies).
f) Ensuring research material is up to date with respect to documentation, data storage and patient file completion.
g) Ensuring that medical-legal paperwork is available and completed documents are scanned and emailed. In addition, medical-legal patient scheduling, transportation arrangement and communication be done in a timely and professional manner on a case-by-case basis.
h) Communicating with referring physicians, insurance companies, external sources with regards to patient care in a professional and timely manner. Any phone calls, emails, text messages, voicemails and faxes to be replied to within 48 hours or less.
i) Escorting patients to exam rooms, cleaning exam rooms, stocking exam rooms, loading up patients' EMR record in exam room, loading up images if they bring a CD/USB/Digital Access, etc.
j) On occasion providing physical, emotional, and social support to patients during clinic hours (e.g., patients with anxiety, patients who fainted, etc.)
k) Ensuring stock supplies are ordered and organized for clinical and research purposes
l) Assisting physicians with patient care in exam room and chaperone as needed.
m) Collect, document, and organize payments for services and products provided by ArthroBiologix Inc. and affiliated physicians

Pay: $20.00-$23.00 per hour
