We're hiring a medical receptionist/ administrative assistant at our new medical spa location in downtown Toronto.Are you a self-starter who can work well both independently and with a team?Do you have strong attention to detail and impeccable follow-up skills?Do you want to be part of building a company with opportunities for long-term growth?If you answer yes, you could be the perfect fit for this role.We are a non-surgical medical spa in downtown Toronto that will be opening in mid-September 2022. We are looking for an experienced medical spa receptionist/ administrative assistant to help launch our med spa. Availability required early-mid September 2022.Our brand has a focus on approachable medical aesthetics, patient education, excellent patient experience, and innovation. We are looking for someone who has had previous med spa experience to embody these qualities and wants to grow long-term with us.Position Overview and Responsibilities:

  • Provide a friendly, educational, professional, and approachable experience for all clients
  • Greeting clients as they enter, checking them in, collecting client information, and rooming the client
  • Manages incoming and outgoing phone calls to provide information about the practice and to book appointments
  • Use an Electronic Medical Record (EMR) to manage the schedule, ensure client forms have been completed prior to the appointment, collect payment, and schedule follow-up visits
  • Ability to communicate technical information in a simple manner
  • Be well informed about all treatments, policies, procedures, and skincare at the med spa to educate clients
  • Performs all necessary opening and closing duties
  • Checks email and our messaging app regularly and responds in a timely fashion
  • Manage inventory
  • Ensure client confidentiality and privacy
  • Promote clinic services and products
  • Attends clinic meetings and educational sessions
  • Other various clerical duties as requested
Qualifications and Experience:
  • Minimum 2 years of administrative experience at a medical spa, non-surgical, or plastic surgery clinic
  • Customer service and retail experience (required)
  • Knowledge about skincare, medical aesthetics, injectables, and laser treatments
  • Reliable and on time
  • Motivated to help grow and be part of a new practice
  • High proficiency with technology and must be computer literate
  • Knowledge about practice management
  • Ability to work with patients and team members
  • Excellent oral and written communication skills
  • Able to multi-task and prioritize tasks
  • Calm in busy environments
  • Motivated to complete duties without being directed
  • High school diploma required, associate or bachelor's degree preferred
