We are seeking a highly organized and professional Medical Office Assistant to join our healthcare team. The ideal candidate will be responsible for managing front desk operations, coordinating administrative tasks, and supporting the overall efficiency of the medical office. This role requires excellent communication skills, strong organizational abilities, and experience in clerical and administrative functions within a medical or office setting. The Medical Office Assistant will play a vital role in ensuring smooth daily operations and delivering exceptional patient service.
Duties
Greet patients and visitors with professionalism and courtesy, utilizing multi-line phone systems and phone etiquette.
Manage appointment scheduling, patient check-in/check-out, and maintain accurate records using QuickBooks or similar software.
Handle billing, invoicing, and basic bookkeeping tasks, including vendor management and filing of medical records.
Assist with human resources functions such as onboarding new staff, training & development, and team management.
Support office operations by managing supplies, maintaining filing systems, and overseeing vendor relationships.
Coordinate with healthcare providers to ensure timely communication and documentation.
Perform administrative duties such as data entry, maintaining patient charts, and processing payroll-related documentation.
Ensure compliance with privacy regulations and maintain confidentiality of sensitive information.
Experience
Prior office experience in a healthcare or medical setting is preferred.
Supervising experience is a plus, especially in managing team members or administrative staff.
Proficiency with Office software (Microsoft Office Suite), QuickBooks, and multi-line phone systems is desirable.
Strong communication skills with excellent phone etiquette are essential.
Experience with clerical tasks such as filing, bookkeeping, vendor management, and basic budgeting is beneficial.
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment.
