The Medical Education Program Administrator (MEPA) collaborates closely with the Residency Program Director and reports to the Team Lead, Medical Education, providing the day-to-day administrative support to the Department of Emergency Medicine Residency Training Program. The MEPA works both independently and within a team environment to administer the many detailed and complex tasks and projects required of this position. This position requires a high level of interpersonal skills, decision making, and proactive capabilities. The MEPA must have a detailed working knowledge of the requirements of their education program. The MEPA is a customer/client-oriented individual with the ability to communicate effectively, both verbally and in writing with physicians, other support staff and trainees. Of equal importance is the ability to take initiative and multi-task in a highly demanding and fast paced environment.

With 21 departments, multiple research institutes and centres, and a focus on excellence in education, research, and clinical care, the faculty trains outstanding medical and dental professionals and drives global health innovation in collaboration with partners across sectors.Primary administrative contact and resource for the program, addressing residents, visiting residents (provincial, national, and international), program director (PD) and faculty inquiries and concerns, as well as forwarding information and responding to inquiries from the governing bodies, various agencies, cultural attaches, other universities and medical colleges both nationally and internationally
Compiles data and organizes trainee records for performance discussion at education program meetings
Facilitates requests and completes all program elective paperwork (incoming and outgoing) for the PGME Office, Colleges of Physicians and Surgeons and other governing bodies
Orients new rotations of residents and responds to any requests, concerns or questions
Distributes ongoing notification of new arrivals and rotations of Residents to all relevant areas
Facilitates set-up, drafts, organizes, creates, and coordinates block schedules for program residents, off-service trainees.
Facilitates set-up and organization of annual CaRMS (Canadian Resident Matching Service)
Assists with creation of accreditation materials for internal and external review
Minutes for the Residency Program Committee and Competence Committee.
Minimum Qualifications
Postsecondary degree in a relevant discipline preferred; minimum post-secondary secretarial/business administrative certificate. Equivalent combination of education and experience will be considered.
3-5 years' experience in a medical and academic environment with extensive involvement in post-secondary educational procedures at an administrative level
Excellent command of English grammar and proof-reading skills
Good judgement and discretion in dealing with confidential matters
Proficiency in MS Microsoft applications (Word, Excel, PowerPoint), familiarity with WebEval program, DASH.med,cbme.med, one45, various virtual platforms an asset, scheduling software
Familiar with Google Apps (Mail, Drive, Docs, Sites, Calendar, Meet)
Highly developed organizational and problem-solving skills and interpersonal skills
Excellent communication (oral and written); accuracy and attention to detail, experience taking minutes
Knowledge of University of Alberta and Alberta Health Services policies and procedures
High level of tact and discretion; must be able to maintain absolute confidentiality
Medical terminology a definite asset
