Job Description

The Manufacturing Administrator is responsible for maintaining accurate and timely production and purchasing data within the ERP system. This role prepares and updates work orders, ensuring correct routings, work centers, and quality documentation before release to production. The Manufacturing Administrator also manages RFQs, purchasing records, and vendor communications to support consistent material flow and reliable supplier performance. By focusing on data accuracy, documentation control, and process consistency, this position plays a key role in supporting informed decision-making and efficient production operations.

Duties and Responsibilities:



Work Order Creation and Maintenance:



Enter and manage production records in the ERP system with accuracy and timeliness. Collaborate with the Plant Manager and Production Manager to ensure job order packages include correct routings and work centers before release to the production floor. Update in-progress work orders as needed to reflect changes or improvements. Work closely with the Quality Assurance Planner and Production Manager to ensure all required quality and inspection documents are included in work order packages. Develop and maintain Work Order templates to enhance efficiency and standardization.

Purchasing:



Issue RFQs to material vendors and service providers, evaluating price, quality, and reliability to select the best suppliers. Establish and maintain strong vendor relationships through negotiations and ongoing communication. Coordinate with shipping and receiving to ensure timely deliveries, inspecting incoming goods for quality and completeness while resolving any vendor-related issues promptly. Monitor inventory levels, initiate replenishment orders, and maintain accurate purchasing records. Analyze purchasing trends and costs to provide data-driven insights for major procurement decisions.

Safety and Compliance:



Adhere to Occupational Health and Safety Regulations and APM policies and procedures. Maintain accurate records and documentation relating to ISO compliance and participate in Audits as required.

Knowledge and Skills:



Highly proficient in Microsoft Office Suite (especially Excel and Outlook) Experience in Sales Post-secondary education in Business Administration Business understanding of costing including materials, substitutions, and machine operations Experience in industrial manufacturing an asset Experience with ISO 9001:2015 an asset Experience with an ERP system an asset Knowledge of machining, materials, and fabrication an asset

Strong attention to detail and accuracy in data entry Ability to establish and maintain customer relationships Strong organizational, interpersonal, and communication skills, both oral and written Proactive approach to problem solving Ability to multi-task and prioritize workload to meet strict deadlines Work effectively in a team environment

Working Conditions:



Work weeks are Monday to Friday, 8 hours per day, starting at 8:00 AM to 4:30 PM, with a 30-minute unpaid lunch. Significant interaction within the machine shop which requires the use of safety equipment including but not limited to eye safety glasses, hearing protection, and safety footwear. Work involves meetings, data input/reporting and requires sitting at a computer for most of the workday.
Job Type: Full-time

Pay: $20.00-$24.00 per hour
