The Management Committee Administrator will report to a lawyer in the Legal department and is responsible for providing day-to-day support to management-level governance committees. Responsibilities include all aspects of meeting planning and coordination (managing calendars, preparation, and distribution of meeting material packages, tracking action items, acting as a general resource to support the efficient execution of committee meetings).Role-Specific Accountabilities:The successful candidate will act as a centralized point of contact for planning and coordinating various aspects of CPP Investments\' management-level governance structure, including:
  • Provide general coordination and administrative support to the Legal Department and other CPP Investments employees to support the efficient and effective functioning of the management-level committee structure.
  • Coordinate and manage all aspects of meeting management, including collaboration with executive and administrative assistants from other departments on management availability and scheduling.
  • Prepare, edit and handle sensitive and confidential information relating to committee activities and the daily accountabilities of the Legal department and broader organization.
  • Provide supplemental coordination and administrative support for matters within the Legal Group.
  • Anticipate needs, prioritize tasks appropriately, and apply experience in making decisions and promoting solutions.
  • Accommodate and complete staff requests while managing challenging timelines and deliverables from across the organization.
  • Problem solve with limited guidance.
  • Be a CPP Investments ambassador by playing a key role in representing the team you support.
  • Conduct work in a professional, friendly, accessible, and approachable manner.
  • Assist with other related matters to support the effective and efficient functioning of the management-level governance committee structure and the Legal department
Qualifications
  • 5+ years of experience gained from fast-paced, professional environment.
  • Experience providing coordination, committee secretariat or relevant administrative support within an organization and/or to multiple professionals and managing competing priorities.
  • Experience with complex meeting or project coordination, calendar management, booking meetings and events for management-level professionals. Experience with committee work an asset but not required.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Visio) and comfort and interest in learning new applications.
  • Motivated, proactive, eager to learn, adaptable, calm under pressure and professional.
  • Able and willing to work flexible hours, as required.
  • Proven attention detail, highly organized and able to prioritize and multi-task.
  • Ability to support project-based work through the elaboration of project timelines and promotion of common goals.
  • Strong (written and verbal) communication skills and interpersonal skills.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines.
  • Proven ability to work independently and perform effectively in a team-oriented and open-concept environment.

  • College diploma or undergraduate degree is required.
