Our Energy and Resources Division has an exciting new opportunity to join the Sodexo team as our next Maintenance and Administration Coordinator at our busy Remote Camp site. This role will support a camp of 4000 plus members. You will work with the Maintenance Manager and team supporting all HVAC, Electrical and General Maintenance teams. This role will require you to work with a rotation of 14 days in camp, 7 days out. Sodexo offers a competitive salary, paid travel to site, extended benefits and paid vacation! The Maintenance and Administration Coordinator is responsible for assisting the Senior Facilities Manager and Maintenance Managers in successfully coordinating and directing all special project work relative to Cedar Valley Lodge and any other applicable external properties and projects we manage. The goals to be achieved are overall on time, on budget, high quality project completion results. This will require a strong understanding of and consistent application of project management processes and fundamentals. Project Management:

  • Sharing relevant data and documentation with project team
  • Organization and leadership in ensuring projects are completed in a professional and efficient manner
  • Organizing and providing information to stakeholders on project status (schedule, cost, quality)
  • Being key point of contact for various working groups (internal team members, clients, subcontractors, etc.)
  • Developing in-depth scope of work documents (identify timeframes, financials, expected outcomes)
  • Ensuring identification and availability of required project resources and equipment
  • Record keeping and maintenance of project files (project documentation such as schedules, resource lists, equipment/material lists, cost analysis, etc.)
  • Has strong facilitation skills \xe2\x80\x93 able to coordinate project activities with stakeholders and those performing the work
  • Assisting in overseeing subcontractors, coordination as required
  • Assisting the Sr. Facilities Manager, Maintenance Manager, and Maintenance Planners with tracking and coordination of project activities
  • Creating and reviewing reports
  • Understanding formal escalation and review process
Financial
  • Works with Department Managers, Warehouse Coordinator and Procurement to control supply and ordering of materials
  • Tracks project costs (labour, materials, etc.)
  • Works with the Maintenance Management team to accurately estimate and forecast project ROMs, Specific Quotes, and ongoing project costs as work commences
  • Assists the Maintenance Management team and Financial Controller with project billing, including the review of project invoices from subcontractors and suppliers.
Client and Customer Satisfaction
  • Ensuring projects assigned are completed in a timely manner as defined throughout planning process
  • Listening and responding to client concerns to find solutions to problems
Health and Safety
  • Performs all work according to safe work practices that pertain to job/task, following SOPs, and using the proper equipment for any task
  • Actively participates in Sodexo\xe2\x80\x99s Health and Safety program by undergoing safety training/education
  • Constant and consistent encouragement to all employees to work safely
  • In conjunction with the Maintenance Manager and Health & Safety Manager, all incidents/accidents/hazardous conditions are to be investigated promptly, reports completed on time and submitted as required, and corrective actions taken
  • Ensures that all required equipment and protective devices are used in the correct manner
  • Responsible for assisting the Maintenance Manager in conveying policies and procedures to employees to familiarize them with Health and Safety responsibilities, safe work procedures, ensuring effective and consistent compliance
