The Licensed Real Estate Assistant provides professional, administrative, and licensed support to ensure the smooth operation of real estate transactions and daily business activities. This role involves managing client communications, coordinating listings and showings, preparing contracts and disclosures, assisting with marketing efforts, and maintaining compliance with RECO and brokerage policies.

Key Responsibilities
Transaction Coordination
Prepare, review, and manage all real estate documents (listing agreements, offers, amendments, waivers, etc.)
Ensure all transactions comply with RECO, MLS, and brokerage policies
Maintain accurate records and timelines for all active listings and pending sales
Coordinate with clients, cooperating agents, lawyers, lenders, inspectors, and other third parties
Listing & Marketing Support
Input, update, and manage listings on MLS, brokerage platforms, and social media
Schedule photography, videography, staging, and inspections
Write and proof marketing copy for listings, brochures, and online ads
Assist in creating promotional materials and social media campaigns
Client Care
Serve as a secondary point of contact for clients, providing updates and support throughout the buying or selling process
Maintain strong communication and professionalism at all times
Coordinate client meetings, open houses, and property showings
Administrative Support
Manage calendars, emails, and follow-ups
Organize and maintain electronic filing systems
Track expenses, deposits, and commissions as required
Support CRM and lead management systems (e.g., KVCore, Follow Up Boss)
Qualifications
Licensing:
Must hold a valid Real Estate Salesperson license with RECO (Ontario) and be in good standing
Experience:
Minimum 1-2 years of real estate experience preferred (assistant, coordinator, or licensed agent role)
Education:
Secondary school diploma required; post-secondary education in business, administration, or marketing is an asset
Technical Skills:
Proficiency with MLS, WebForms, Proptx, and CRM software
Strong computer literacy (Microsoft Office Suite, Google Workspace, Canva, DocuSign, etc.)
Comfort with social media platforms and real estate marketing tools
