Seeking a detail-oriented and organized real estate administrative assistant /client care coordinator for a top-producing real estate agent. The ideal candidate will provide administrative support and contribute to the smooth operations of daily tasks and ensure efficient workflow.
RESPONSIBILITIES & DUTIES:
- Administrative tasks such as preparing listing and offer documents, scheduling appointments, and managing client databases
- Assisting in the preparation of comparative market analysis (CMA) reports
- Co-ordinate listing property set-up and preparation such as booking / coordinating / scheduling photographers and staging
- Walk-thru properties to fill out data sheets and prepare description for listings and advertisements
- Coordinate and schedule property showings and open houses
- Reviewing and responding to emails accordingly
- Keeping the office and files organized
- Data entry and expense tracking
- Organize all advertisements, just listed / just sold cards
- Familiar on how to set up mailwalks
- Follow up on showings to get feedbacks of showings
- Manage social media content and marketing (Facebook, Instagram, Google ads)
- Prepare marketing materials such as flyers, brochures, and presentations
- Facilitate communication and coordination between clients, agents, inspectors, lawyers, and other supplies or vendors
- Provide excellent customer service to clients and address their inquiries or concerns
- Coordinate other miscellaneous activities like: put up and remove lockboxes on the properties, client gift preparation and deliveries
- Flexible to be on call as needed periodically
- Potential some showings or re-visits needed
QUALIFICATIONS:
- Previous experience as a real estate assistant or sales role is preferred
- Excellent communication and customer service skills, including excellent telephone manner
- Familiarity with real estate terminology and processes
- Ability to work independently and prioritize tasks effectively
-Access to your own vehicle
TECHNICAL SKILLS:
-Must have working knowledge of Microsoft Office (Word, Excel), Adobe
-Working knowledge of TRREB, WebForms, Authentisign, Skyslope, BrokerBay
